How to Increase Productivity and Actually be Productive

As real estate agents, we are typically all over the place and are well known for starting and never finishing things. But, can you blame us? We're trying to do the job of multiple people. Sometimes we wear our agent hat, other times we wear our marketing hat or our finance hat. 

That said, if we don't want to hire an assistant, finding a way to increase productivity and actually be productive every day is key. I have a staff of 6 people, but all but one is dedicated to the property management side of our company. I still run into the same day to day struggle of being productive. So, what works? 

Our company has found that the time blocking method has been the most effective. While Toggl is an application, they have also written a great article about time blocking. Check out the article here. Time blocking forces you to focus on one thing at a time and can help cut down on distractions. I also strive to get the biggest task done first so the rest of the day is easy. There are many apps that can assist with time blocking or you can use an old fashion planner with the time to create your schedule. Here is an article about 3 time blocking apps that might work for you. We've come to find that notebook planners have been the most effective. 


 

So how does time blocking work for a real estate agent? 

Lead Generation- Schedule 2-3 hours each work day to call leads, send emails, etc. You might have several appointments now, but make sure you have future clients in the pipeline. Lead generation is a key part of your business. 

Follow Up- Schedule 1 hours each work day to follow up with clients who might be looking for a home or past clients to stay in touch. You can call, email, or write hand written notes. 

Weekly Appointments- Schedule time to be blocked off so you are able to schedule appointments with leads/clients without having to rearrange your schedule. There may be some outliers, but the consistency will help you keep a hold of your day to day schedule. 

Professional Development- Schedule time for meetings, whether that is staff or organizations you are a member of in the community and through the industry. This also encourages you to be involved if you are not already. Keeping this in check will ensure you are spending the right amount of time. You can also use this time for continuing education classes. 

Admin Tasks- Schedule time for the tasks you don't want to do. Use this time for data entry, postcards, marketing material, etc. Things you know you need to do, but keep avoiding. 

Personal Time- Schedule time for yourself, even if it is just going to the gym. Without personal time, you'll eventually burn yourself out. Everyone needs a break.
