It is important when dealing with clients to insure that you are on the same page. In order to do that, I got into the habit of emailing folks once we had completed our showings or meetings. I used a contact management system to keep track of my communications as well. In that way, no matter how busy I got I could go back and make sure that I understood where we were during a transaction.
I always felt that documentation was important. I wanted my clients to understand that I understood and appreciated what their position was too, and so by emailing them shortly after a meeting I either got it right, or heard about it relatively quickly.
Once again people like to know that they are being heard and anything that you can do as their agent to insure that your clients are comfortable and satisfied that you are working hard for them is something you should be doing.
When bad things happen in, or after a transaction these notes and emails are very important to help prove what you did and conveyed at the time. When things go well, you can refer back to your notes in years to come, and remind your clients what you remember from an old transaction. Believe me, it is a terrific thing to do and old clients will be very impressed with you. Make life easy, confirm those conversations.
