Everyone is familiar with the little notification in your Outlook displaying hundreds of unread emails.  In Highlands Ranch property management, we get floods of emails every day and night.  The best way to tackle a consistent surge of communication is to adopt the best email practices immediately.  The better your habits, the less formidable your inbox may seem.

                Determine who actually needs a response if you are included in chains of emails with multiple recipients.  Never hit reply all unless you need to.  File away any correspondence that you need to have on hand. 

                Be sure you are always brief in your replies.  Depending on the client, you may type up a long detailed email and have none of it land, or have the recipient respond to only certain items within the body of the email.  That always leads to more confusion and more messages.  Never respond briefly with indifference.  You don’t want anyone thinking you don’t care about the topic at hand or that you are simply dismissing them.  This can lead to anger or frustration.  Be sure to communicate effectively with the person on the other end. 

                Avoid phrases in all caps, especially if you not in a hurry.  Be sure to be mindful of tone, as a lot of inferences are made into emails when you cannot hear how the person is delivering the information.
