Spend One Day on Your Email Inbox, You Won't Regret It

Heading into October many real estate and property management companies may be watching the dust settle on another eventful summer cycle.  Too often are certain housekeeping items neglected while everything is in full force.  One thing you should consider doing right away is taming your email inbox.  You can spend just one day on it and achieve a much cleaner and organized inbox that will set you up for success in the winter months and carry over into spring again.  In Highlands Ranch property management, we always spend at least a day in the transition to October focusing on this very task.

                The first thing to do is target any high-volume senders and delete if you no longer need any of the info.  This can be rental or real estate showing traffic, automated emails for feedback, or listing flyers that have been long sold.  Usually you can filter by sender and mass delete so you aren’t wasting time manually selecting specific emails. 

                The next thing you will need to do is unsubscribe from any mailing campaigns who you just do not need in your inbox.  Outlook is great for this task, as it will automatically sort messages into clutter and junk mail.  Go through the clutter folder and identify any emails that may be in there by mistake.  Any emails and senders who are just that, clutter, need to go right away!  Unsubscribe and delete.  The items that showing in your spam folder need to be blocked.  Make sure there is no one in spam who shouldn’t be.  IF there is, restore their access to the inbox and make sure they are retuned to preferred senders.  All others are blocked so that should help with the buildup of messages. 

                The last thing to do is organize your emails you need to keep into different folders.  You may have to access important information or a conversation with someone down the line.  The more specific your folders are the better.  This will help searching later for a particular message and it will also cut down the amount of emails you have to wade through to find what you are looking for.
