The More Lockboxes You Accumulate, You Need To Keep Track Of

                Any good Highlands Ranch property management company will have more lockboxes than ever possibly needed.  Not any more than they know what to do with however.  That would be pointless if you have too many.  For those that get into the 40 and 50 range you need a good system to keep track of all of them.  Most likely the codes will all be different, as similar codes will certainly cause confusion.  Here are some tips for keeping everything in order.

                First you will need to have a master list of all codes you are using.  This can be problematic if you are keen to switch codes frequently.  The only reason you would do this is if you give untrustworthy or temporary vendors the codes while they are sitting on vacant houses.  You should always change codes once too many different people have the code.  For this reason, leave some room on your master list for editing, scratching out numbers and updating the sheet. 

                Next, you will need to tag each one of your lockboxes.  A simple key tag that you can affix to the lockbox will make sure you never get locked out of them.  Another key is to have a collecting pool for all the tags once a lockbox is in use.  That way when a lockbox is brought back to the office you can match it to its tag and know how many are out in the field at any given time.  This is something you will need to keep up on as well if you are changing codes.  These key tags could start to multiply without warning and suddenly you are not sure how many lockboxes are out there.  This is alleviated if you have your master list and your showing sheet.  It seems redundant but its important to keep track of these things when you have so many floating around.  They are only $35 at Home Depot so if any get weathered, destroyed or just become hard to open you should always replace.  Program it for the same code you toss to keep things at an equilibrium.  Focus on these steps and you will have no problem keeping track of all your lockboxes.
