We schedule and set up appointments for the numerous tasks busy Realtors® manage daily. We put our important dates in first, many written in stone, family, personal and settlements. Then everything else fits around your "big rocks."  

 It is not necessary to let the world know your schedule. 

 WHY you are not available is NOT their concern.

 

When someone "needs" an immediate appointment, it may not be possible. Many times we can make it work. Sometimes it is not possible.

No matter what is on your calendar, there is a professional way to respond to their immediate needs. 

 

 Mark your calendar

 

Here are a few simple responses needing no explanation.

 

That is not a convenient time. How about 2 or 3?

 I am booked at that time.

I have back to back appointments this morning, would this afternoon or tomorrow morning work for you?  

12-1 pm Sunday is not possible.

Is there another time that would be convenient?

 

 Or just say:

 Already have an appointment at that time.

Margaret you are so right, too many people do not know, that I have to cook for my sick dog, go grocery shopping, cook for Diane and manage the House when the Gardner's come, when the cleaners come and the list goes on and on... amazingly I still have seven listings that I manage to show when they want to see it:))Endre

I totally agree. If we have appointments of any kind, we are not available at that time for other activities. Since many of us do some sort of work 7 days a week, it's even more important to make sure all our family and personal commitments are also on the calendar.

Bingo!  An appointment is an appointment. No explanation needed.  I like the "big rocks" analogy. There is plenty of room around the big rocks to keep balance between work and personal, isn't there Margaret?

I like that "Big Rocks" label, Margaret.  I like to schedule more important appointments as early in the day as possible.  And, then the less pressing stuff after that!

I drill this into the minds of new agents all the time.  I also suggest that they look at their calendar and give two options for meeting times that work for them.  If you leave it up to a client and are having them come back with conflicts for you, it would get annoying to here, "No, I'm booked then," over and over.
