After each closing our team of four get together to discuss the closing. One of the things we do is to rate each participant in the closing - buyer, seller, lender, title insurance company or attorney, inspectors, insurance agent, etc. We often have some interesting discussions on which letter grade to give them, because we don't all agree, but do come to a joint decision. That rating goes into our contact management system, ACT, so that any of can see at a glance who to recommend, what to expect, what to tell our client to expect.  We also talk about anything about the transaction that was less than WOW and what we can do to improve it. What lessons can we learn from this transaction, how can we improve our services. Then we also talk about the things that were WOW, so that we can repeat them, and even improve them.

What a great way to perpetuate a great referral systems and great experiences for your clients.  I love the idea that there are others out ther proactively improving the industry in every way possible.  I get tired of dealing with others in the industry that are only focused on the paycheck.  Those are the people that will not be around down the road when they finally realize that this IS a referral industry and your clients end experience means everything.  The last thing a client remembers about their transaction is the closing.  I have worked with title companies/attornies that did there job poorly and turned a perfect transaction into and experience that left everyone with a bad taste in their mouth.  Thanks for sharing your positive efforts!!

Sharon, I've never used a real contact management system other than outlook.  Your professionalism shines through in your posts.  This gives me a good reason to look into contact management systems again.

Our broker sends out a report card after each closing grading the realtor, lender, title people. What I love is the "written notes" by the client that they were completely pleased with the transaction. It's like Margaret Rome says "I work for the thank you notes."

Also, for each transaction I donate a portion of my commission to Children's Hospital in the name of the client. So they receive an additional letter stating that the money was donated in THEIR name.
