Well since I joined the business 6 years ago I learned that working both sides of agency was the best way to keep both sellers and buyers happy.  Recently I had been asked by many new agents how do you keep up with all those listings?  I maintain somewhere between 30-50 listings on a continous basis.  In order to keep up with these I use a simple system that works for me.  When I begin working with a client a I ask them how they want me to convey information or feedback to them.  This usually comes is many forms.  I do use many different forms of communication in order to keep them informed on how things are going with their property.   First I keep a complete list of my sellers in a spreadsheet complete with phone numbers and other important information.  I set up all sellers with our Paragon system using the auto-email system to send emails to them daily if there has been any activity with their property.  I then send out a complete update monthly to show them in a spreadsheet format what has happened that month.  I do call and give verbal updates or I use "Hello World"  and send them a video email just to them concerning their property at least once per month.  This usually takes 4-5 hours of a day to complete.  Another powerful tool I utilize is I  send a update for internet hits on their listing from Realtor.com.  If you do not do this one or are not a member you are missing one of the best tools for listings that is out there.  This also tells me how this listing compares to other similiar listings on the web.  This has allowed me to keep them as a listing for longer periods of time.  I have been able to maintain 98% customer retention using this simple system.  Keeping them informed even in a slow market is easy if you use simple tools we have at our finger tips.  The best tool is using a plan to say hello and inform them of what kind of activity has happened during the listing period.  Now as I stated this does take time and you have to make sure you plan a day to ensure that you contact them using many different formats.  This works for me and hope it will work for you!
