SureClose Helpful Hint for Today (HTML editor for Task Notifications)

Let's start with the most obvious question today.  Did you know that SureClose has an HTML editor for notifications?  There are many options to choose from for messages and notifications that can be found in the Notification Messages section on your SureClose Admin page.

 

 

 

The choices that include the HTML editor option are:  Scheduled Reminder Message, Task Notify, Document Auto-Filed Notification, Document Completed Notification, Document Filed Notification, eSignature Opt-In Notification, eSignature Opt-Out Notification, Export Expired Message, Export Warning Message, Failure to Dispatch Auto-Notification or Scheduled Reminder, New File Notification, New User Notification, Task Completed Notification, Task Deadline Reached Notification, and Task Edited Notification.

So, what does this mean?  It means that a few minutes of editing on your corporate notification messages can make a world of difference in their appearance and content.  With the HTML editor you can change the font style, color, and size.  You can add bullet points and bold, italicize, or underline your text.  Just take a look at the differences between these two messages:

Here are a couple of other tips regarding notifications:

  1. Be sure to take advantage of the merge fields when possible.  These fields give you the ability to personalize your messages and that will go a long way with the recipient.  BUT, be sure to test your merge fields when adding them!  You want to make sure the data comes across the way you plan for it to.
  2. You can attach documents to notifications.  If you were a customer which would you rather receive: An email telling you a document has been filed, now go login and find it OR This attached document is being provided to you in this email and has been filed online for your convenience.
  3. Web addresses will become live links in notifications.  This can be quite useful when used properly.  For example: If you are sending a reminder to a customer about utilities for the property, why not add a link to the city website?
  4. When adding parties to your SureClose file that will be notification recipients, be sure to choose the E-mail (HTML) option when entering their email address.  Otherwise, the notification will go to the recipient as text.

The notification feature can save you a considerable amount of time and work when used properly.  It can also give you a real edge over the competition in effective and efficient communication.  This is a great feature, but also a bit complicated.  So, stay tuned... more to come.
