Do you avoid giving out your cell phone # to the public, never knowing whether telemarketers or random stalkers may call you?  Do you take phone calls "after hours" (during your family time) because you don't know the nature of the call? Do you have to rush back to the office to see if you received the fax you've been waiting for?

If so, I've had the same concerns and a few months ago, switched to a virtual office phone and fax management system.  I researched several and then tried a few.  Now I can recommend my favorite, www.GotVmail.com.

Every Realtor should ditch their cell phone -- or at least STOP giving out their number, unless it's to clients.  Instead, subsribe to GotVMail and enjoy these PHONE and MESSAGE benefits:

  1. Professional "large office" sound that shows callers you have your own office
  2. Receive calls only during the hours you choose; for example, MON - FRI 8am to 6pm and SAT 10am to 5pm.  Set your schedule boundaries - no need to explain that you don't accept "late night" calls from clients during your family time, or that SUN is your off day.
  3. Other calls can go to your office voicemail, which you can pick up at any time.  You can even get notified via text message or email that you have a message waiting!
  4. Callers can choose from several extensions, such as: a separate line for each agent on your team; or a separate extension for each listing you have.
  5. Record your own professional messages for each extension.  You can do this on your computer!
  6. Don't change your cards etc. every time your cell or office number changes. 
  7. You can choose your own local or toll-free number, or request a vanity number.
  8. You can play back your messages on your computer, and archive them.
  9. Once you've established a relationship with a client, you can give them your cell phone # if you want.

Incredibly enough, here's some FAX benefits too:

  1. Receive your incoming faxes electronically -- you don't need a fax machine, ink, or paper.
  2. Faxes can be read from your computer -- you can save paper (and go "green") by not having to print every fax.  Only print those faxes you need a hard copy.
  3. You can save faxes as PDF files and forward via email.
  4. I've received NO junk faxes (spam faxes) since I implemented this new fax system!
  5. You don't have to give out your fax # on your business card, etc.  When clients call you, tell them your fax # is the same as your phone #, which they already have.

Yes, there are some cons also.  The main issue I have with GotVMail is that they do NOT have an outgoing fax service.  They keep saying they are working on it but no progress yet.  They really need to offer this service if they hope to be a complete office management system.  If you want to have a completely virtual fax service, with no fax equipment, you can scan documents to your computer, put them into a PDF format, and send out via www.OneFax.com or a similar service that has outgoing fax capabilities.

Once, I was not able to receive a fax through GotVMail.com because of the computer that was sending it.  But this has only happened once.  And we fixed it by sending it as an email attachment instead.

The service is incredibly affordable, with rates from $9.95 per month.  I pay about $20 per month because I requested a specific toll-free phone number.  There is also an initial set-up fee.

WAIT!  One more IMPORTANT thing... NAR members get a substantial DISCOUNT on the service by using their NAR coupon code.  Go to www.Realtor.org, click on "Realtor Benefits" at the bottom of the left navigation bar.  Under "Technology", click on "GotVMail" and get your $50 credit which waives the set-up fee!

Sherry, just to clarify my title, I should have said "Ditch giving out your cell phone #" and not "ditch the cell phone itself". 

I'm addicted to my Blackberry and use it for keeping up with my schedule, receiving emails, and accessing the web when needed.  It's just that I prefer to give out my 888# instead of my direct cell phone.  I save that # for family, friends, and actual clients.

Helps to protect my privacy and also NOT to be overwhelmed (be more in control of my office management).

Jennifer, that is true that office phone #'s cannot be on the DNC list, but your cell phone may be (unless it's used for business).  So let them call my 888# instead of my cell phone, that is one less unwanted call I have to take!

At our office we have the Office number that we can forward from anywhere, to wherever we are. Our clients have the ability to reach us when they need us. Yes, there are times it is inconvenient and there are times that we do not take calls,.. however in my mind it is a part of the role we play.

There was a time, not so long ago that we could all afford to only take calls during business hours, but when the market changes, we must be ready to be inconvenienced a little for the priviledge of being a persons trusted adisor and friend.

We are paid well for the individual commissions that we make,.. all the other time we put in can not be factored in to that equasion.

Real Estate,... it's not just our living,... It's our Life.

Randy, as business "owners", we can take cell phone calls at any time...

while taking a shower in the morning, during the Realtor caravan, while in the middle of showing a house to other clients, while transporting our children & their noisy friends to soccer practice, while eating dinner with our family, in the middle of evening Bible study, bathing our kids at night, and laying in bed with our spouses....

No reason why we shouldn't answer every call, eh!  ;)  After all, we don't HAVE a life!  He he.

Of course there will be points when the call can not be answered,.. at times for all of the reasons above,.. but the reasons you provide are the extremes,.. after all,.. what are both of us doing right now? Are we paying attention to our spouses, our kids, of course we have lives,.. but our "lives" are not more important than those we serve. If we want regular hours,.. we could work at the local bank,.. If we want a set schedule,.. we could apply at the local 7-11,.. or Wal-Mart,.. if we want to make a difference,.. we place our needs as secondary to our clients and we help them achieve,.. what they often thought they could never achieve,..

I have negotiated contracts, on the soccer field, once via text imessaging during church,.. taken a panicked call,.. while in the shower,.. and yup,.. even stood up my wife once on Valantine's Day because I was in contract.

We do what we have to do,... it's part of this "Life" we've chosen and if every other agent wants to stop answering their phones at 5 because they want a "different" one,.. please,.. give them my number,.. I'll be happy to pick up the slack,.. :-)

Hey, Randy, I know what you mean!

I can't tell you how many evenings I've spent away from my family showing property to buyers, tons of weekends missing the kids' games due to open houses, and "holidays" rushing around marketing and showing houses.  For years our family project consisted of the kids helping me stamp, label, and mail out my newsletters to clients.  When we go out to eat dinner, my kids always warn me, "Mom, turn off your cell phone in the restaurant" so they can have some of my attention.

But on the other hand, we get to work from our home office, so we can work early in the AM and late in the PM... without leaving home...

Yes, in the real estate business, your life revolves around your job... for better or for worse!

Frank, I've stopped giving out my direct phone # on the internet.  99.99% of the time, the phone calls from the internet are from SALES people, not clients.  Same with email.  Sorry, clients, but I have to screen my calls/emails so that I have more time to spend with YOU!
