Top Producer's email capacity is not the most user friendly - and I know it does not pull up email addresses and names when you start typing in the "To:" box. Here are 3 AWESOME features you may not be aware of:

  1. Link to contacts - If you have a specific email address in your database for any particular contact, Top Producer will automatically file the email under "Completed Activities" in the contacts page.  This has come in handy soo many times when drudging through 100's of emails in the trash. 

 

2.  Store Attachments - Top Producer 8i allows you to link any email to an attachment.  Scan your in your completed Purchase Agreement and link it to the contact and go paperless.  The you always have a digital copy of the PA in the history of the contact.  Easily accessible and easy to do.

3.  Mass email - Using a mass email tool can be a little scary at first but don't worry you will have plenty of chances to screw something up and send it out to 100's of people (been there a few times).  Using the combination of merge codes and your database, you can contact a lot of people with a few clicks.  This works great with any type of interest rate drop, housing news or anything you think your contacts should know about.

how do you get the scanned document attached to the contact. For instance, I scan the listing contract and send it to myself, so it is now in my emails in my inbox - how do I attach it to the contact?

Hi Travis.. and thanks for the post.  I was/am a Top Producer 7i certified instructor, but yet to get certified in 8i.  Would like to mention here also that with Outlook Connector you can use Outlook and still link to your clients for your incoming messages... and still send out your bulk mail through TP ... and yes, I think we have all sent out the mistakes to our databases... and, it more than likely won't be the last.  lol..

Those are the only reasons that I use Top Producer email ... especially for the mass emails. I like that you can keep templates in the marketing section and easily send out repeat material if needed.

Thanks for the insight.  I've been a Top Producer user since it was 6i, and I'd tried hooking up our team's email from Outlook into Top Producer when it was 7i, but there were glitches that we couldn't get around.  Many things seem to have evolved since 8i was created, so perhaps it's worth another try!  Thank you!

We have used 7i for many years. We use use TP for mass email to small and large groups. We break down the large groups by templates to avoid spam folders. It is also very convenient to email directly from the contact records and have an automatic copy in the history.

We are troubled by 8i and are not using it. We need to be able to view the entire contact record and have the ability to easily copy, paste and email the contact record to our associates and the loan officers.

great suggestions on TP8i!

I use topproducer exclusivly for my email, that way I can easily check to see if someone that sends me an email is already in my database by looking for the chainlink icon next to the name in my inbox. we add about five new people a day to the database!

I use 8i altho I would guess about 3/10ths of what it is probably capable of. Sometimes I feel like I need a fulltime assistant just to manage Top Producer and keep it updated. I'm always behind on contacts, phone calls, e-mails, updating contact records once I speak to someone, or adding notes to a listing, etc.

One feature I can't believe TP has not fixed is the size of file you can attache to TP. Once I scan one of our Purchase and Sale Agreements it's to large to send out as an attachment in TP. So I have to send it out from my Yahoo address...how stupid is that. And if the contract has any Exhibits attached, if for sure will not fit in TP's little world.

I love TP, but it really can be overwhelming! I need to look into more training I guess!

we use top producer email but it was very slow until we upgraded to Explorer 8. If you upgrade to explorer 8 don't forget to update the compatibility settings

Hi.  Just read your post about TP's email.  You've brought up some good points.  I do like the "stationary" look of TP's email with the web site look at the top.  I've tried to use it for email but there's just so many things that Outlook does better in my humble opinion.  However I have been using TP's email for buyers as sort of a trial basis.  On a related note, I just switched over to a Top Producer website which should go "live" by Tomorrow or Tuesday.  So far, I've been really impressed with their tech support.  (I've been a TP user for about 17 years and have always been impressed with that aspect of their business).  I'm getting rid of my Advanced Access site - I've basically been pretty happy with with AA but have not liked their ongoing issues with Explorer.  But that's another story for another day.  Thanks for your insites.

Travis, do you recommend the Outlook Connector yet?

Outlook does SO many things that TP can't - it is still the de-facto (besides gmail) for managing ALL email accounts, IMHO.
