Outlook Tip: Fewer Clicks Saves Time

Outlook Email: Quickly Attach a file to an email

(This applies to Outlook 2007 and Outlook 2003)

Ooops!
Have you ever sent an email and forgot to attach the file?
I know I have. If we change the order in which we handle this simple task we can save critical minutes and hours each month.

Fewer Clicks Saves Time
Most of us start with opening a blank email message, type in the recipient, the subject and maybe even the body of the email before we attach our file. Then we click on Insert, Attach, and locate our file within a few more clicks.

Streamline attaching files to emails...
When you are looking at your list of files (i.e. My Documents or your Desk Top) to attach a file to an email follow these 3 steps:

  1. Simply Right click on the file you wish to attach to an email
  2. Scroll to "Send To"
  3. Select "Mail Recipient"

Boom! A new message opens up with the file attached.

"GADZOOKS! that was easy Jeff".

Hey look at the Subject line...it has the file name already listed in it too.

AND look at this...

"The message is ready to be sent with the following file or link attachments:
(File Name here)"

This is automatically inserted into the body of the email.

Just type your message and send!

Jeff - I usually open up a new email. I never thought of using the right click of the mouse. Thanks for the tip.

Hi Jeff ~ I'm a longtime Outlook Express user and Outlook avoider.  I think I'm finally going to get dragged, kicking and screaming, onto the Outlook team.  I've just subscribed to your blog to help me along the way.

Jeff - I have known that this can be done, and have done it before, but old habits are hard to break.  I seem to always go back to opening a new message, and then inserting the file as an attachment.  I need to break that habit.

Alexandra...you could spend all day looking for tips and still not learn the core ways that Outlook can help you manage your contact communication.

Why spend all day when you can spend an hour or two with me and learn exactly what you want and need to know.  Contact me and I'll give you a sweet deal (50% off) since you are an ActiveRainer!
You know that spending hours of your time "researching" is costing you money, your time is valuable isn't it?
The best way to SAVE MONEY is to get help right away.

Jeff, just these past two weeks I have been making my way back to using Outlook.  My laptop crashed over the summer and while I replaced it and the files, it was so much easier to check email online.

I am back to Outlook and loving it.

I've been looking for tips to incorporate and even taking some of the MS tutorials on their site.  Thanks for the time saving tip!

I'll be checking out your other posts in search of more.
