Heap CRM especially good for Teams.

Real Estate Agent with eXp Realty & Working The Magic, LLC

A little over a year ago I wrote a blog post on Real Future CRM vs Top Producer.  BTW: I really like RealFutureCRM and our Company eXp Realty actually provides every agent with a full version of Real Future CRM however one of the CRM's that I posted a follow-up comment on was Heap CRM which you can find at http://www.heapcrm.com/.

Generally speaking the defacto standard for CRM's in the Real Estate Industry continues to be Top Producer however Top Producer is similar to Microsoft Word in that it does every single thing one could possibly want a CRM to do however for most people using all the features of Top Producer will just never happen.  As a result it's an overly expensive CRM for most users.  At $40+/month/agent it can be a drag on the expenses of a team especially in the leaner months.

I just recently went back and reviewed the enhancements of HeapCRM since I looked at it last year and though I haven't played with the enhancements personally the enhancements are what was missing for me to recommend it as a Real Estate Specific CRM namely Custom Merge fields and Custom Search fields.  These two enhancements now allow me to fully recognize the benefits of Heap in the Real Estate field.

Lots of additional benefits over the typical TP.  30 day free trial.  $9/month with no contract for the first agent and $5/month for each additional agent.  Fully integrated with Google Apps.  Webhooks to everything from Mail Chimp to Google Checkout.  iPhone and Android interfaces.  Create Contacts from emails, drop boxes, Calendaring and more...

Anyway check it out and see if it doesn't work well into your 2010 Business Plans for CRM's.

All the Best,

I haven't looked at HeapCRM before, but I've been looking for something new. TP seems expensive for what it is. Have you ever looked at EurekaWare, which is a real estate plug-in for Outlook? They only charge a $99.00 one time fee with no monthly expenses.

Glenn, HeapCRM looks interesting.

I just got off a call last week with the owner of RealFutureCRM, and I have to say (I have no connect with his company in any way) that they have a better product, especially for real estate agents/teams/brokers.

RealFutureCRM has some sophisticated lead management, assigning, and follow up systems that totally blow away contact managers like Top Producer.

Yes, I know, picking a CRM is like picking an ice cream flavor, but I think it really does beat Heap.

I'm checking into a few others as well - anybody else found something with robust reporting of leads, sources, roi by lead source, etc.?

As the President of Adigida (RealFutureCRM - full disclosure!) I would like to thank Glenn for his support of RealFutureCRM and, recently, his upgrade by his company to the ProspectConverter platform for lead management. And also to Sean for his kind words. Our clients are our best spokesmen.

To some extent Glenn is comparing apples to oranges in that HeapCRM is a generic, non-real estate specific, contact manager similar to Highrise. Extremely capable at what it does, but a different animal in that it lacks the workflow and terminology which you find in a program designed specifically for real estate professionals. But don't be surprised to see some of the same third-party integration soon in RealFutureCRM.

Sean is discussing our ProspectConverter application which aggregates leads from practically any source, filters them, and automatically (or manually if desired) distributes them quickly to the appropriate sales agent according to Rules the Team or Broker configures. As it sits atop our RealFutureCRM program, this is a new category of CRM software for Teams and Brokers that marries lead generation with lead conversion at an affordable cost for even smaller players. Sales pipeline tracking is common in other industries, but something that has been lacking in real estate for all but the largest companies until recently.

I hope this clarifies the programs being discussed in these posts.

Before you spend money and time choosing a contact manager/CRM, wouldn't it be prudent to find out exactly what they are all capable of? Not knowing is like buying a house in Arizona without air conditioning because you never heard of such a thing. People propose using Outlook or Google because they don't realize how many shortcomings there are, assuming you want to grow your business, not just track people and appointments. Find out what you can have if you know what to look for!

I would like to take a moment to announce that my new book is out!

"Choosing and Using a Contact Manager or CRM".

"Gary sent me an advanced copy of his Contact Manager Book. It's an excellent resource on Customer Relationship Management (CRM), easy to read and full of gems. I highly recommend it, whether you are contemplating buying a CRM or you are currently happy with your CRM."
