WHY SOME SYSTEMS FAIL!

By
Real Estate Agent with Broken Arrow, Tulsa, McGraw Realtors

My first Blog! Scary HUH?!  But as with life, if you take off any mask and don't "fluff" the facts, then there's nothing to be scared of.  So here goes...

Let me start by giving you some definitions:

Systems - a method or set of procedures for achieving something. (Encarta Dictionary)

Relationship - the connection between two or more people or groups and their involvement with one another. (Encarta Dictionary)

Now, let's take those definitions and think about them in regards to real life.

We all know that Relationships can succeed without Systems, but .....can Systems be successful without Relationships?Cafe

I went with a colleague (I'll call her Beth) to a business lunch she had scheduled with a new lender (I'll call him John).  John was very polite and professional.   John began to tell us that he builds his business by getting to know all about his clients.  Beth was asked many questions such as marital status, spouses name, kids names, everyone birthdates, anniversary date, etc.  You get the picture.    Pretty cool for someone to ask about your kids and then they receive a birthday card.  We all like to talk about our kids.  He also has lunch with someone new everyday and is building a large database.  He schedules everything ahead and is very consistent in what he does.    He puts all new clients into a system he has designed and stays in touch with them either by notes, email or calls.  Sounds like the way to build a successful business doesn't it?

Since I wasn't on the schedule for lunch, John was polite and took my contact information and said he would schedule a lunch with me at a later date.  No problem there, because I did just show up.  That afternoon, his secretary left a message  for me to call and set up a time to have lunch with John.

In a couple of days I received 3 note cards from John all on the same day.  One that said nice to meet you, one about the note cards he's sending out and one about his business.  All generated from an online company where he can add names and addresses new to his database.  Less than 2 weeks later, he sat down by me at a business luncheon and proceeded to introduce himself.  He didn't have a clue who I was. I began to remind him of the lunch he had with me and Beth, but he didn't remember a thing.

He has great systems in his business, but without truly building a relationship with your clients, what do you have?  Only embarrassing moments in public, a shrinking database and no referrals.

This has really caused me to pay attention to the way I approach and meet new people.  It's not just about another name in my database, but a connection with a person.

Lisa...that's what happens when you just put a name into a data base....then forget about it.

Lisa that is too funny, you know for a minute there I was feeling guilty about my follow up. And of course let us not forget that "system failure" is part of a system too.

Congrats on your feature, great job!

Congrats on your well written post.  I use the notes section for contacts in Top Producer pretty regularly, to keep just that sort of thing from happening to me.  I am working on improving my systems and sometimes long to be better organized.  Now I see it is possible to go too far the other direction.

Lisa, thanks for taking the time to post this. It's very interesting and reminds me of a time when I tried to add anybody and everybody to my database. I found myself deleting most of those names at some point because I didn't properly establish a relationship in the beginning.

WOW what an idiot....whoops, I shouldn't say that, but seriously! Good post...I agree that systems are important, especially for scatter brains like me, but people ALWAYS come first.

Thanks for the great reminder!

Great advice!  How embarrassing for him not to have remembered meeting you or anyone for that matter especially in the sales industry.

Welcome aboard Lisa.  When I first started in this business I met A LOT of people like "John" that you describe in your post.  Now they're gone.  Haven't heard from them in years.  These are the fly by night people looking for "systems" to replace the hard work necessary to really build relationships.  We've pretty much stopped all of the cookie cutter mailings with recipes and sports schedules, etc.  They're insincere and people are innundated with them.  The consumer knows that we put no real effort into those type of pieces.  However if I call them or send them a personal e-mail they KNOW I care.  Great post and best of luck to you.

Great first post. I have been a sales manager for many years in another industry and have seen plenty of people like the man you wrote about. There is nothing inherntly wrong with having a follow up syatem. The problem comes when you become a slave to the system. The system is just a tool to help us track and manage our relationships. I have seen many salesmen let the system go from a means to an end, to the end itself.

Lisa--your first post and you got featured!!! Congratulations! Terrific one by the way---great story and a good message too. If I may suggest what I learned about getting featured and even in any blog post----try to respond to the comments you get--a way to think of it is: the blogger should always be the last comment on his/her post. You don't have to comment on each and every one of the responses but an acknowledgment is always nice!

Good luck with your future blogging; IMHO, I think you have what it takes!!!

Paula,

Thank you for the kind words.  Also for the advice/suggestion.  I signed on the AR the day after I was told about it and then wrote this blog.  I didnt' even know what it meant to be featured.  Bob Haywood introduced me and encouraged me to blog.  I then called him and ask what to do, but it was after 40 or 50 comments.  Thank you for educating me on this.

I do hope that no one was offended because of my lack of knowlege on proper response.  I appreciate every comment I received and all the encouragment.

Thanks again!

You had every right to be offended by his behavior.  What a scammer....let them all fall by the wayside.  He was a "user" loser.

Suzanne I was at the point that it was not worth my time to be offended!  And when Beth and I tried to explain about building relationships, it went over his head.  He just didn't get it.

thanks

Very nice blog for the first-time.  Relationships are better than systems but we have to find a way to manage both.

I don't have a problem connecting with people. I'd rather do that than manage my database. Goals for 2010 balance them both.
