As you hopefully know, I am a reseller Top Producer 7i, Agent Office, Active Agent for Outlook, and many other Contact Management/CRM solutions,and a trainer for Agent Office. Just in case you are unaware, I am also the guy that created Trans-PlansTrans-Plans are available for Top Producer, Agent Office, and Active Agent for Outlook. ‘In Agent Office and Active Agent for Outlook, they are called Activity Plans'.  In Top Producer 7i they are called ‘Action Plans'.

These plans and letters import into the program you're using, and included in the plans are drip mail/email campaigns to thank referrers, keep your clients informed and therefore calmed down, always asking for referrals at the same time.

...Finally I broke down and took a class from Gary David Hall. WOW! That was money Well Spent!  Gary knows his programs and is a good teacher. I learned a whole lot and was able to put it to good use.

...Another point: Listing Plans come with the program. Gary Hall wrote a set called Trans-Plans. They are VERY Thorough. I was surprised at some of the things he came up with to remind me to do. Some are not relevant to my practice but most are and it is very easy to delete the ones you don't need.

Question:

Has anyone yet used the Trans-Plans for Top Producer? Are their any recommendations for this?  It sounds great but $200 is a large investment?  I would like to see recommendations first.

Answer:

Amy - I use these action plans in Agent Office - same plans. They are great action plans because they are so complete. There are a couple of big challenges with any contact management program and the biggest one, imnho, is the follow-up action plans. First, you have to create them, then you have to launch them and use them, and then you have to update them (or do you???).

We had more than 100 action plans in our system before these came along. We can't delete the old action plans because of how the system works, however, we use these new plans now, customized to our business which is now at 7 on our team, on the way to 9 before the end of the year.

Before these action plans came along, we were actually at the point where we were going to bring in the creator of TransPlans  (Gary David Hall) for a couple of days to re-write all of our plans. There are not a lot of options out there for this type of action plan, and these are very good and definitely worth the small cost.

Sure Tamara - thanks for asking!

I'll add this to my description of Top Producer Action Plans on my site, in case others are unclear as well.

The bottom line is that the 2 action plans TP has are very very basic, and contain no letters/e-mails. It has one action plan for listings, and one for closings. Trans-Plans contain 2 sets of 5 extremely comprehensive action plans/campaigns, consisting of over 500 activities, and include 28 letters/e-mails written from both a team and an individual agent perspective. "I' versus "We".

For example: Top Producer includes one action plan/campaign for listings called the "Listing Services Checklist". That campaign includes 18 'To-Do's' which are very basic, and include no letters or e-mails.

Trans-Plans has both a "Listing Plan" and a "Price adjustment plan". The listing plan alone contains 98 calls, to-do's, and letters/e-mails. No one will use all 98 activities. The idea is that it will have just about everything you need. You just delete what you don't need.

In Trans-plans - there are 3 closing plans. One for when you have the seller, one for when you have the buyer, and one for when you have both.

The TP plans essentially give you a very basic starting point, and you have to 'go from there'. Trans-Plans should save you in the neighborhood of about 200 hours, which is the 'go from there'.

Dear Gary,

We are searching for a Contact Management System at one of our offices that works with several applications: Outlook 2003 (on laptop and PC), Plaxo.com (online) and nls.point2.com (online, which hosts our site florida-living.biz).  Outlook syncs with Plaxo (contacts, tasks, calendar and notes), so laptop, PC, cell phone and online stored info is up-to-date. Now we'll have to find a way to connect Point2.com with Outlook and sync...

Alternatively we may use MS Exchange (Outlook) instead of Blackberry server software (25 PC's at main office), but for our main office (in Amsterdam, Netherlands) we work with an online ' bridge' between our office and our MLS, which is also a CMS (but in Dutch and not suitable for US business). All this to be up-to-date and preventing entering listings in several system (one entry should be enough).

For our CMS it's important to sync two Outlooks with customer database info, preferably via an online service/bridge, and preventing from entering listings seperately/manually in our Outlook. Can you inform us what software can serve our needs? In fact, any tips on pointing us in the right direction is welcome.

I know of nothing that woks with Plaxo & Point2, but I found something that I actually switched to myself, that is knocking my socks off. I just switched, so I I'm not ready to call it the best yet, but I'm thinking I will be, after a trial period. It synchs with Outlook,will mail merge with Word and Publisher, and has many other attributes lacking in others. It's called Advantage Xi. Check it out at http://GaryDavidHall.com/advantagexi.htm

AdvantageXi looks powerful. How does Active Agent for Outlook compare to AdvantageXi? Is there a product comparison sheet? I am familiar with software and need Outlook (as an in-between program or bridge) to sync (or import and export) with the CMS and plaxo and/or point2agent. Therefore an Outlook add-on or software that can synchronise is needed by us. BTW, AdvantageXi responded fast to our e-mail with questions. I am looking forward to hearing comments on product experiences.

Nothing I've seen compares to Xi, for a desktop application. They've taken 16 years of feedback, and implemented it all. W/r to it being desktop, it has an online database storage capability to synch with, for an annual fee, a USB device synch, to carry back and forth with you from home to office, and auto-synching on networks.

Until I continue using it myself for a while, I'm not going to give it my 100% blessing, but I can tell you I've never been this excited about a CRM solution before. Excited - geez - I need a life ;-) 

By the way, I mentioned your Plaxo comment, and that is already being looked at.
