I thought I should write on the trials and tribulations of finding a good CRM (Customer Relationship Management) system. In my mind real estate (in fact all sales) is based on a relationship. Therefore why not work with a "relationship" program. Let me also say right off the bat...I am not going to spend a lot of money. So this leaves out Top Producer, Agent Office etc and all those other monthly expenses. As well we need to look at hardware, software, cell phone sync, and the clouds...By writing this I am hoping to help out as many real estate agents organize their customers and make more money by discussing what I did to find the perfect CRM solution. (and cheapest...)

Let's start off with software. Microsoft Outlook is a great "general" CRM program. However in real estate we have particular needs and information to track.  I therefore discovered the ability to customize the contact forms in Outlook. Customizing forms in Microsoft Outlook is not difficult. By using the customization I was able to collect rent from my tenants, provide ROI numbers for my real estate investors and track my listings, showings etc. It was a wonderful thing. But as my business grew, the limitations of Outlook became apparent. It is a software program that resides on my computer. It is limited to its physical location.  I needed to be mobile and have access from other locations. I needed to hire an assistant who could access it from another computer.

Hence I began to look at "cloud computing". I simply wanted to take my customized Outlook on the road with me and have my virtual assistant access my Outlook database from another program. To get Outlook in the clouds I need to look at an "exchange server". The best price I could find was 10 a month ( another 9 if I wanted to sync with my cell phone). And most importantly exchange servers DO NOT support customized forms.

So as my business grew, so did my frustration with the limitations of Outlook. I discovered two cloud based free CRM systems worth mentioning. The first is Zoho CRM. And I must say it is an amazing program. It's customizable. It is easy to use. You can have up to 3 people on your team access it. It has a reporting function. But sadly, it is not mobile (yes you can try through Google Apps...but good luck, I tried and it couldn't work).

So now my adventure lead me to Sugar CRM, community edition (yes it's free too). Like Zoho it is customizable but I found Sugarcrm to be slightly better then Zoho CRM. It has a much more intuitive workflow program. It offers action plans and campaigns (drip mail, auto responders etc....) and virtual limitless access from anywhere by anyone. However after setting it up I was hugely disappointed to find a very limited number of mobile phone apps that work.

During my mobile sync search I came across a stunningly easy to use (and yes free) sync program called Funambol. I was blown away how fast and easy it synced all my contacts, calendar events and notes to my Blackberry. I was also blown away by how versatile it is. Check out the Wiki on Funambol.  

So in conclusion I must admit that I have yet to find the perfect CRM solution. Sugar CRM is almost there and yes I was told by RhoMobile              that they would have a Blackberry sync ready in the first quarter of 2011 that would work with my Sugar CRM customizable fields. Once that happens, I will have no excuse to not becoming the most successful real estate agent ever (ahem....). And secretly I am hoping that some other amazing real estate agent will comment on this blog and tell me how they do it that works better then what I propose....

Mark, thanks so much for this post! I was just on a CRS webinar about systemizing my business, and this topic came up. The programs they referred to were not as extensive as your list, so I greatly appreciate your research.

I've used my Palm Desktop for years * I can transpose to my Google contacts and syncs seamlessly with my Sprint phone...I know when tenants  and owners call, I can capture NEW e-mail and phone #s and I can answer with their NAMES.

Google keeps them in my iPad, phone, desktop and laptop

I keep my lockboxes/shackle codes, property addresses with DIRECTIONS and photos that I can attach with work orders to my vendors phones!

I think drip email or auto email should obviously do all the work for you. It should be just so easy and after just a keep in touch call or monthly call

thanks for the great research, Mark. I'm too looking for alternatives to Outlook, I'm currently using google calendar and mail, but need something more with more tracking function... I'm a big Apple fan - so that might complicate research as a lot of real estate programs are still deisgned primarily for windows... but I'm glad to see the changes though, from 2 years ago. You're right Paul, Advantage Xi is one of the best ones out there. And yes Rich, IXACT Contact is as well. They are two of my favorites.

I would like to chime in with regards to using generic CRMs versus ones that are created for use by Real Estate agents. Let me be clear that I do not sell generice CRMs. I sell Real Estate specific CRMs. But I could sell generic ones if I wanted to. I don't, because I tried them over the years, starting in 1987, and I don't believe in them. Using my time to list and sell was much more cost effective than wasting my time trying to customize something that was not created to do what I needed it to do. When the goal is to get an inexpensive CRM to save money, but you spend hours to make it like the one that costs more, which one is costing more? Is your time without value? I'm not saying that you should spend a lot of money. I'm just saying that it shouldn't be the foundation for the decision.

Ther are over 40 Real Estate specific CRMs available. I have most of them. I do because different agents have different needs. I am asked pretty much every day - "Which CRM is the best one". My answer is always the same. There is no "one best CRM". There is only the one that is best for you. When people get on blogs and forums and say "this is a great one" or "that is a great one", what they are really saying is "this is a great one - for me".

There is one out there that is the best for you. Based on your aptitude, your current needs, and your future goals, I can help you find it. That's what I do. Good hunting!

I am glad see this post getting some action...Yes everyone has different needs...my broker still uses scraps of paper for follow  up, and he still out sells me! I love what I'm seeing from Zoho. Free email, CRM and great business apps. I guess for those thinking of expanding and needing an assistant, having a cloud based system helps greatly with sharing information.

Interesting to see how things change over the years and more features are being offered and ease of use. I want Fun Fun Fun to use my Crm so here is what I have found I have been researching over 20 Crm programs that can make it funner to reach out and call, email, notes etc. 2 of them allow you to track these activities and see your progress which is fun to me ( coming from Outlook I need a fun boost) I am leaning towards base Crm with Contactually having similar lighter functions. I checked out many others like insightly, prosperworks, prophet, nimble, apto, Good Gmail App integration a must!!

I know these are not totally Real Estate Centric as far as the drip campaign but to stay in touch with Contacts and to know how effective you are, Base even tells you which time is more effective to call as they have an auto dialer built into your contacts and records everything automatically!
