....and the first question is What does your office look like?  Another great ActiveRain Challenge: ActiveRain & Kodak Contest: A challenge to go paperless gave me the incentive to not just start...but DO IT.

On with the Paper-Less Challenge!

I normally keep my desk clean but for some odd reason I just can't seem to complete many tasks I started to get better organized with going PAPER-LESS.  I suppose the first step is to admit that I need to have a plan for having LESS paper, cards and so forth.

That's not saying much for someone who loves to be organized is it?

Well, awareness and admitting I need to have a plan is now on the table.

To date I have scanned and pdf'd all docs (including emails) from 2008 to present with my Adobe Pro program and my laser all in one machine. I was in the process of all the years prior and got....discouraged.  They say to keep all files for at least 7 years but I really would like to save all of them in case I need to refer to something from a prior transaction.

The Plan:

  • Put aside a bit of time each day to get caught up with scanning the rest of my closed files.  (stop trying to hide everything and get it done!)
  • Back up to disk so I can put them in the safe (I already have a back up but what happens if there's a fire?)
  • Shred the papers I really don't NEED. Everyone feels they need to keep all notes and stuff (okay...maybe it's carried on genetically from my mother) BUT I guess not really. SCAN them!
  • Continue to keep pdf'ing all docs during a transaction so that when it does close I can create ONE .pdf for multiple files. (I'm glad I started)
  • Invest in a electronic rolodex so I stop throwing the business cards into that giant box on my shelf that isn't do anything. (I REALLY need to do this so I can find these individuals instead on continuously googling everyone.
  • Win the contest so I can receive the prize of the KODAK SCANMATE i1120 Scanner and not have to stand up to scan from my machine.  Hehehe.

Well I would say we all have a challenge on that topic we print print print all day long keep records of just about everything. good luck on the paperless task computer just mean more paper and more printing lol See ya and Go paperless is a great ideal

Sally:

I am also in the process of scanning all my files.  It is a challenge in itself.  The older the files the less paper was used, so I am starting at 1989 and working forward.  I am scanning the files onto a flash drive for each year.  4GB flash drives.  I am going to ends up a a drawer of flash drives.  Yikes!

Sally - I do alot of scanning and saving docs on CDs, but I clearly have lots more work to do. And of course having to deal with others who are far from being paperless adds to the mess. I try to see every little thing I do as progress...small steps at a time.

I started several years ago and had some transactions that were completely paperless...that was a major challenge.  Like Jeff said, even if we do it, getting other Agents to use Docusign or a similar program isn't always easy.  Good luck to you...I know you are very organized so will be curious to see how you manage to do it electronically :)

Ah, I have such a long way to go! The best plan is what you do, set time aside. I hate paperwork and filing. So I set an alarm for 20 minutes on Sunday nights to get some out of the way. If I set the timer, I will do it.  I set a timer to do any tasks that I don't like to do:)

Frank and Sharon...no kidding! I've got a small townhouse and it just does not suit me to have .....stuff stored.  My husband donates my shoes in the closet every time I need extra space for files lol

Katerina: Now that is an idea....I will get a timer!

Kathy: I have done some ...can't seem to get to the rest unless I don't blog lol  That ain't gonna work lol

Jeff: Others need to get with the times here too. It's a good thing when I'm on the other side of a technorealestateagent who knows their stuff...makes life easier

Evelyn: Be careful....as with the floppy disks....the flash drives don't last forever....I have an external backup....back up drive on pc....burn to disks.... Never can be too careful!

Wow - if you saw my desk right now you'd think - yikes - she is almost paperless!  It's kind of weird to have such a clean desk most of the time now.  Good luck on your plan Sally!  One project at at time and you'll get it all accomplished.  That's how I did it.  I still have a few more things to finish but I'm almost there - not 100% paperless as we do need some - but as much as possible.

I have been saying for years I need to do this. I work a ton of short sales and those files are at times 2-3 inches thick. A lot is very personal info that I don't even like having but I keep thinking that I should have to I can prove down the road what was actually submitted, you know? and thinking about scanning all of those files just makes me tired thinking of it. And I'd hire someone but what if they miss something? I know I know, I need to just make a plan. Well enough of my rambling; best of luck to YOU!

Susan: I bet!  I've only had a few shorts last year but those were definitely scanned!!!! I too have control issues...therefore, no assistant....good luck to you...hope you find your happy median. lol

Anna:  Where did you get the time?  I'm not too busy right now and what do I do?  Blog lol

I am hoping that flash drives last longer than I do.  But I will be careful with those files that I think might be a problem and store them on a secure drive.  Thanks for the comment.

Sally - that reminds me of how my place looked about 6 years ago, BEFORE I started scanning everything and sending it all as e-mail attachments. 90% of my files are in the computer and no longer on paper.

Paper paper paper, I really can't stand paper. I have trimmed way down though, and am pretty happy about that. Good luck in the contest, that is.. if I don't win, LOL.
