HELLO? Really? Is THAT How you Answer YOUR Phone?

Frog On The PhoneSo, I've got out-of-town clients in looking for a rental property. Today I was making some last minute arrangements for showings. In our listing service, you have several options for numbers to call. One can be the owner directly, or that same field might say, Call Listing Agent.

Then there are fields for a direct number, as well as the number of the actual brokerage office, as required by law.

Most of us in real estate (actually I hope ALL of us) operate with cell phones. They are an extension of our arms quite frankly. It's how we do business, and how we often contact people, and people contact us.

But, how do you ANSWER that phone? With a "Hello?" Ah, who am I calling?

I was blown away by what happened on the other end of the calls I made today. Three of them were answered, "Hello?" No name, no nothing. Just "Hello?" Excuse me, are you not a professional?

My phone is always, let me repeat, always answered with "Good (Morning, Afternoon, Evening) this is Thom Abbott." Mind you, I'm amazed at how many people don't listen to what I just said, as it will be followed with "Can I speak to Thom Abbott?"

The second call, I know the agent works from home exclusively (no office) and I got to hear part of a conversation with their significant other while they looked for paperwork on the listing I was calling on, and for something to take down MY information.

Donald Trump said in one of his books, always be prepared when you answer the phone...ready to give your attention to the caller on the other end. I do just that when at my desk. In fact, I already have a pen in my hand to start writing a name when someone gives it, so I can refer back to the caller by name.

Tomorrow, how about you "BAM...kick it up a notch" and actually answer YOUR phone with

"Good Morning/Afternoon/Evening, (name) speaking." You just might be surprised how well you are received instead of a measly "Hello?"

Argggggh! Tom, I wrote a blog about this very thing a few months ago.  My business partner and I are always amazed by the lack of professionalism shown by a good portion of our colleagues.  Especially phone ettiquette.  How difficult is it to answer your phone, "hello, this is Jerry (or whoever you are)".  Good post and best of luck to you.

I agree with you Thom. I am continuely surprised how some professionals operate. It amazes me how the  act of how you answer the phone is overlooked when it comes to professionalism....

Thom - I do answer my phone professionally and the caller thinks I'm a recorded message.  I usually have to follow up my greeting with hello?  To funny!

Oh yes, and how about putting a message on your answering service.  An automated message with the number, no name, no nothing.  I am wondering what that says.  I am afraid to leave a message because I can't imagine I have dialed the right number.  No agent would do that, would they?

Oh Thom... I could add a few more examples to your list!  How about when you call someone to inquire about a service or to ask a question, simply introduce yourself!  "Hi, this is Joe, from RE Agency and I'd like to speak with someone about ____?"  Being that I'm a Southern Girl, manners go a long way!

Tom, this is a wonderful example to share! I just encountered this yesterday, when I called, I actually had to ask with whom I was speaking and with what company. I was a bit surprised!

AMEN! I just can't believe that some agents think it's OK for a dumb sounding "Hullo" to be the first impression a consumer gets of them.

I answer identifying myself ALWAYS -- UNLESS I see your number in my CID or contact from my list and know who you are in which case I say "Hi [YOU] !" :)

Thom ~ I agree with you 110% I called a company I worked at the other day.  1st time they hung up by mistake and the second time they just said Classic.  ??? Classic what?  I also hate it when I go into a business and someone is talking on the phone about sports or what they had for dinner last night and I am standing there waiting for them to get off the phone.

Thom nothing more needs to be said we are in BUSINESS!  I did a post once about the sound of your own voice.  I really highly recommend people grab a tape recorder and and LISTEN to not only WHAT they say but HOW! it sounds!

Since cell phones have "caller ID" and if the caller is one of your contacts, would you answer - "Good Morning/Afternoon/Evening <name of caller>" when someone calls you?

Jordon: Of course, if I have the caller programmed into my phone, and I know them, I usually just say, "Hey Jordon what's going on...or Afternoon Jordon, how can I help you?"

Pamela: I've listened to the sound of my voice. Is there meds you can take to lower it a key or two?

Patty: I do that when I call, and I guess most people are not "prepared" when they answer their phone because I am always asked again "Who is this?"

Jane:  All the time I get, "you've reach 555-1212. Please leave a message after the tone." I do, and it usually includes something like, "I'm trying to reach John Smith, but since the voice mail does not say who I am calling, I'm not sure I should leave a message."

Bill: There IS something called phone etiquette?

Mary: That is funny. But professional nonetheless!

Myers: Now how hard was that?

Maggie: Probably why I would have a hard time being the broker of my own company with agents. To me it also reflects on the company as a whole, but then that is probably just me. I come from a corporate background.

Jerry: Not to hard is it. But I guess it is for some many people!
