Diary of a Virtual Assistant

The on-going story of how a real estate team in Boca Raton, Florida
works successfully with a Virtual Assistant in Nashville, Tennessee.

February 17, 2012 ~ Boca Raton, FL

Dear Diary,

First quarter 2012, is fast becoming the busiest time we’ve seen since the wild and crazy Florida boom was in full swing.  We are absolutely swamped with showings, relocating buyers, closings and of course all the usual deal problems.  If we didn’t have our Virtual Assistant we wouldn’t be able to keep up with all the demands on our time.

We had scheduled a very special open house for a waterfront property.  This home is located on an exceptional Intracoastal point lot and probably was going to be sold as a tear-down. To get builders, architects and agents who specialize in waterfront properties to come to an open house we knew we’d have to pull out all the stops. Our Virtual Assistant, Jennifer, suggested an early evening cocktail party timed to have the sun setting over the water just as the party was in full swing. This was exactly the type of event we were looking for.  The task list was daunting....assemble a builder and architect email and phone list, create promotional flyers  and hand-outs, line up a mortgage lender with super jumbo loan products, order refreshments, hire a bar tender, buy ice, paper products, cleanup bags, make sure we’ve got corkscrews, serving tools and a zillion other steps to make this a success.

Thanks to the hard work of our Virtual Assistant, the event was perfect...

Delray Isle Open House

Dear Diary,

One of my first projects working for Dan and Linda Tublitz as a Virtual Assistant was organizing a large Broker Open House at a high end listing in Delray Beach.

Delray Isle Open House

From a distance I was able to coordinate the catering, create a FaceBook event, send out bulk email invites, create print marketing pieces, make contact with  Marsha Gandy from Guaranteed Rate to bring information about super jumbo mortgages and even locate a bartender for the event who was based in Delray Beach.  How did I find a bartender to assist them all the way from up here?

Ahhh, the magic of FaceBook!  Since most of my FaceBook ‘friends’ are from south Florida I posted a status update on my profile that read;

***HELP WANTED***

Bartender needed for Open House in Delray Beach.

Thursday, January 26th!   Inbox me for details!

In this economy starting a FaceBook post with “****HELP WANTED****” is a sure fire way to get folks attention.  Within three hours I had a local bartender booked.   The catering arrived on time, the bartender was able to assist in set-up, the brochures were locally printed, builder, architect and agent turn out was great and the elegant Broker’s Open went off without a hitch, a complete success!
