Eliminating Inefficiencies in Real Estate Contest

 I am very happy with the quantity of leads from my paid ZILLOW internet presence. Yes, there are many who want me to meet them in 15 minutes to show them a home when they have not done their "homework" first. Yet each of them are potential Clients, aren't they? Or are they cousins of "Ivanna Lookalot" as presented below by Glenn Freezman?

 It was taking a lot of time to respond to each Zillow lead individually. Yet - I truly believe that is very important to respond quickly and personally to each person. I was stuck on the                                                                                          of a dilemma!

 Some you may know that I am TOTALLY enamored of Gmail. So I devised a compromise to eliminate some inefficiency and still maintain my schedule.I decided to use the CANNED RESPONSE feature to cut back on the inefficiency of composing emails individually when I had to say the same thing over and over.

Many folks think that a REALTOR(R) would love to just ride around and show homes to folks who have nothing else to do. (Hmmm - I think I will include Glenn Freezman's excellent cartoon "I am a doctor, Not a REALTOR!" here as the "dessert"!) Many folks think that they don't need to apply for a mortgage until after they find a home they want. Many folks think that a home listed for $18,000. will be available to them for only $9000. because they want to pay cash and they have received "expert" advice from family, neighbors and/or television.

This canned response outline response technique has eliminated inefficiencies in real estate for me and has worked wonderfully so far. I am meeting my personal goal of answering everyone as soon as possible. I am saving time by tailoring the canned response to the inquirer's actual questions. Here's an example of the first response I send out now:

 Dear ----- ,

 We are glad you chose to contact our company and we hope we are able to assist you!  

Starting these responses is always an adventure. I wonder if the email is the person's name or an invented "handle" or is it a man or a woman or ... Then I wonder what is the best way to make contact from here on out?  I am confident about finding the information you requested, I want to be absolutely certain you receive the data. What is the best way to communicate with you - email, phone, text, carrier pigeon, smoke signal or through social media?

Please advise me if you are working with another real estate professional.  ODAT Realty loves new Clients and at the same time, we want to respect any relationships that folks have with other REALTORS(R) or other agents. Ethics are of prime importance at our firm.  (Yes, there is a big difference between REALTOR(R) and agent. I can explain later on if you are interested.)

The second email from me goes out after the person confirms that he/she is not working with another agent/broker already. When the person has the courtesy to respond, then I am glad to escalate the readiness determination by sending this note:
Dear --------------,
Thanks for contacting us from Zillow!  I have found the information you requested.
First, the answers to your questions are - -- - -
the mortgage issue - 
you must have the Pre-approval letter to submit an offer. In the competitive climate for "good deals", all the paperwork must be in order before an offer to Purchase is submitted to the Listing Broker for the Property one chooses.

Knowing how you will pay for the home is an important step to take BEFORE you start looking.
  Unless you plan to pay cash for your home, please visit these mortgage sources for more information.  Knowing your price range is a great way to begin.  Applying with at least two is a good plan.  Online applications are available from

They do not charge for the preliminary work to get a Pre-Approval letter.

My third e-mail response comes after the person confirms that he/she has or has begun to apply for a mortgage. Then I know that I am actually dealing with a potential CLIENT not a tire-kicker! That email is certainly a personal and one of a kind!

Sounds like you have a good way to deal with this stuff. ABout how many leads per week do you get from Zillow, and how many can you convert?

Hi Lynn - we have a half-dozen canned e-mails we frequently use for lead situations where the only contact is an e-mail address, but if I'm given a choice, I'd prefer to follow up with a telephone call - we find out a lot more and a lot more quickly, and see, to convert at a higher rate.
