Emails And Text Messaging An Imperfect Form Of Communication

I recently read a post by Maria Gilda Racelis; The Agent's Tone Makes Me Want To Sell The Home

Maria's post reminded me of emails and text messages I've received and sent where the meaning or tone Emails and Textingof that message was totally misunderstood or taken the wrong way.  While not always possible, I'm all for picking up the phone or meeting someone face to face, the person can see your face and you theirs, hear the tone in voices and see body language so that messages will be received as they are intended.  

When sending and receiving text messages the use of "U" instead of "you" or "LOL" instead of "laugh out loud" or is it "lots of love?"  Of course, there are many more acronyms that lend themselves to a kind of open interpretation that in my opinion are lacking emotion, tone, inflection, facial expression...intention!  Do we even need to discuss the autocorrect feature with text messaging systems?  I'm sure we've all suffered through reading a text we sent only to discover a word we typed was auto-corrected to something entirely different! 

Example:

Recently, I had a meeting scheduled with clients and a lender at my office.  Normally the lender arrives early, but this time she was a little late so I text her; "Where are you?" The text response I received was; "I'm waking up now!" So, disappointed I apologized to my clients and canceled the meeting.  As I accompanied my clients down the hallway out of the building we passed the lender we were to meet with.  The message was supposed to say "I'm walking up now!" 

TYPING IN ALL CAPS IS GENERALLY CONSIDERED "YELLING" AT SOMEONE, BUT WHAT IF THE PERSON IS TYPING IN ALL CAPS BECAUSE IT'S EASIER FOR THEM TO READ?  WHAT IF THAT'S THE ONLY WAY THEY'VE EVER TYPED AND HAVE NOT GIVEN IT A SECOND THOUGHT?

Sarcasm and humor do not always translate the intended message even if the person you are communicating with is well known to you.  We need to be aware of the words we send off into cyberspace and how they can be interpreted.  So, the next time you send an email or text, you might want to take a second look at it to make sure your message is actually what you are meaning to say and will easily be understood...not misconstrued.

I think texting should only be done where it is necessary but as soon as there are essentials like contract details or terms emails are the way to go. I am also a person who is interested in hard evidence in case something goes wrong. With texting things can go wrong much easier because we are all in a hurry and make typing mistakes.

One of the best uses of email is to put in writing the results of the phone conversation you just finished.  That allows you to reiterate any understandings and create a permanent record that is less formal than if you wrote an addendum to a contract.

Text messaging is great when issues are simple.  Again, it creates a permanent record.  I have had numerous text conversations with clients, though, where it starts to get very detailed and involves lots of explanation.  That's when it's time for me to pick up the phone and then follow-up with an email.

As imperfect as texting and emailing can be, they do serve a purpose and in some ways we are definitely better off for them.  I like texting as a quick message system; "on my way", be there at 9:00am", "clients phone# is", etc.  Emailing is great for a paper trail and longer explanations.  Phone calls or face to face conversations saves time, sets the tone and builds relationships.

Agree. We really have to be extra careful with sending texts and emails because sometimes it also depends on the receiver's perception of the message.

This is so very true!  It is so easy to mistype a word especially when you are in a hurry (waking vs walking) and because you are in a hurry you do not take the time to proof yourself.  Modern technology it is a blessing and a curse all at the same time!

Auto correct is the worst thing ever invented. I wish we could all just talk on the phone or in person but in a business where our clients have their own jobs and many agents I co-broke with have full time jobs texting and email are necessary. Also, it is a paper trail too. 

I do agree that it can be misunderstood but if I have an email to refer back too it is much easier than trying to say I left you a message about this last week only to get the response well I never got the message, whether they did or not I have no proof.

Great post! It is a reality when dealing with millennial clients. They prefer to text. My philosophy, communicate with the client they way they prefer.

This is very true. Emails and texts can be very imprecise. At least pick up the phone. Lord knows we've all got a couple of those!

Hi Nick - you hit the jackpot on this one!  Texts - really?  If people don't read what they are about to send and/or check to whom the text is being sent, it could be a total disaster.  I certainly hope the text frenzy ends .... soon!  Unfortunately, I' thinking that is merely a wishful thought.

Patty-and the receivers perception get more skewed the longer the message.

Gene-they are a great tool, but a little common sense goes a long way.

David-I don't like to text novels like some do.

Jamie-texts and emails make a great paper trail, but a conversation first can save a lot of time.

Jordan-understood...you have to communicate the way your clients want you to, but you can still be professional and include traditional communication.

Nothing beats face to face but if that is not possible then a phone call is best. Text and emails are great for tracking information but they can lose a lot of the message.
