Agents...Going On Vacation?  You REALLY Should Have Someone Cover for You!

...And you need to let your clients know who to contact!  

Teamwork for your clients'Tis the season for active home buying here in Charlotte!  Thankfully, if one of our agents takes a few days off during this (or any other) season, we have other agents cover for us.  I was notified today by an agent who is actively seeking a home for a buyer of another agent who is on vacation, looking for an up property in an area which I specialize.  As it happens, she is covering for an agent from a completely other brokerage than her own.  This is what we do - we cover for one another when asked - and, the favor is returned when we go on vacation!

I received two calls today from buyers who have agents but, their agents are not available and they were asking if we could show them homes this weekend.  I told them that how we typically work is that someone covers our clients for us when we are not available.  Both buyers said that their agents did not let them know if someone was taking care of them in their absence - they don't know if there is a relief agent or not.  Both said that they would contact their agent and ask.  Both thanked me for telling them that because neither of them knew what to do to be able to tour homes this weekend.

This evening, we received notification from one of those buyers whose agent never got back to them about anyone covering for them.  These buyers have not signed a buyers agency agreement with their previous agent and are now free to work with us...and are!  These are pre-approved, high-end buyers too - not just buyers in looky-Lou mode either!

I can't imagine leaving town and leaving my clients to fend for themselves.  Who does that?  

'Tis the season for vacations - I know, I'm getting lots of calls (especially on the weekends) from other agents' buyers!  I can assure you that every agent isn't telling these buyers to contact their agent to see who is supposed to be covering for them; they're nabbing your clients and without agency agreements and no one covering for you, wouldn't you nab these floundering buyers?  These buyers are desperate for someone who will provide excellent customer service and not leave them out there to work for themselves!

Even if you only have one buyer or one seller, don't you leave them in good hands in your absence?

Even when I am out of town I have my phone and my computer.  If no cell service it is for a very short period of time.  I give all my active clients and other agents I am working with a heads up.

In this hot seller's market it is even more imperative to have a back up assistant or coworker to help prospective buyers when a new listing comes onto the market. Time is money and in this market it might be the difference of losing or getting an offer accepted. We do have access to all the technology to keep us connected, however, to best serve our clients, there is also the need of a warm body to show the properties. (S)

It is important to have someone cover for you when you are out of town, even if it is for a few days and you are staying in the USA.  I am currently covering for two agents. For the most part, the agents can still return client calls.  My job is to stay in the loop, attend closings and inspections, and make certain that checks and documents reach their destinations. The agents begin forwarding emails and docs a few days before leaving, so that I am up-to-date.  The agents do the same for me.  The system works well.

Paul, Exactly!  Smart man having someone to cover for you!

Praful, Sometimes we even get calls who are not even willing to wait when we ARE in town!  But, our own clients know how we respond and when someone doesn't respond for a full 3-4 days, wouldn't you feel deserted?  I certainly would!  We all need a break away from technology and oftentimes, we're vacationing in remote countries/places with no reception.  Someone should really take our book of clients for us - or it's not really a vaction!

Laura, it doesn't make sense to go on vacation if you're working the entire time, does it?!

Sham - that's exactly what I do too!  I can't imagine the frustration of these clients trying to reach their agent, phoning others who refuse to show them properties since they're working with someone and then missing 'hot' properties.  I would definitely do what that buyer did that I mentioned over the weekend - He fired his agent!

Michael - I thought so too!  Evidently everyone doesn't have the same common sense that most of us do!!

Richie - Good point!

Rob - We do it all the time - we have buyers who are referrals or repeat clients who we know are going to remain loyal and will sign BA when they're ready (oftentimes at the presentation of an Offer).  However, I do believe if we deserted them, they'd desert us too!

Ginny, yes, there are other issues that do rouse us, aren't there?!  I have a photo thing that I truly believe makes my blood pressure go up too!!  ;-)

Dianne - YES!  And, I don't know which is more important - the CDB for business or vacation!!  

Angelica - SO true!  Funny but, I always ask my sellers when I give them the call, letting them know I'm going on vacation and who is covering for me, "So, will yours be the one that goes next week?  You know one of mine ALWAYS goes under Contract while I'm gone!  Would you like to have a conference call with my relief (agent) to discuss negotiating strategies before I leave?"

Carol - That is terrible!  You know, you get it ALMOST to Closing and you drop the ball because you selfishly go on vacation...you need to find a new profession, right?!  Wow, just WOW!  On a positive note, isn't it FABULOUS when you have a lender who communicates with both sides?!

Kathy - You're so right!  It is our duty as a fiduciary and then, there's that procuring cause issue too!

Gene - What do you do if you're remote?  And, how do you ever actually take a real vacation?  We all need them every now and then - it makes us more productive!

Sarah - That is what these folks missed out on - 'hot' properties - and they weren't prepared to miss out on any more.  In fact, when they phoned me back, their first question was, "Do you have an upcoming vacation planned?"  They shouldn't ever have to worry about that!

Sharon, that is exactly what we do too.  It just makes everyone's lives easier!

It's pretty idiotic not to inform your current clients when you'll be away, and clients aren't the only ones some agents don't inform.

I've had agents ask me to put a rush on copy they wanted because they just HAD to have it by a certain date. I've hurried, sent the copy on time, and then after getting no response for several days, found out that they were on vacation and would "Look at it when they got back."

I love my technology and do admit that I stay connected to my clients when I'm gone to some extent. HOWEVER, it is essential, as a professional, that I have someone in place to assist with showings and provide more detailed information while I'm gone.  I just finished finalizing an offer that started with a fellow agent helping my buyers while I was on vacation last week.  If taking care of my clients means adding the assistance of another professional than it is what I do! It's just good business!

Debe, I see this happen more than you would expect. If you're working with clients they deserve better service than an agent that just gets up and leaves without anyone to cover for their clients.  Also, it's guaranteed that if you leave for a few days your business will pick up...definitely need someone back at the office handling things for you.

Marte, Don't you feel like that's the story of your life - we expeditiously respond to our peers and partners in a transaction and then WAIT for them to take their time to get back to us!  Drives me nuts!

Cat - I totally agree!  It IS our business, our fiduciary responsibility!

Nick, Aren't you just so surprised that this is the 'norm' for some?  It terrifies me when I leave - I spend a couple of days worrying that everything is okay when I leave!  Yes, I am a little OCD!!

Important to have an agent you trust cover for you.  Often difficult to find.  Just as important is the ever evasive 'communication' to clients.  Still the #1 complaint of clients.  Mark

This is such an emotional experience for the Client, I never tell them I am going, nor on vacation.  I never risk their at times irrational emotions causing them to stray.  Plus, technology affords for them to not know I am away, and I still can serve them, or delegate them being served.  2013 I negotiated one of my largest transactions of that year power-walking on a trail in Vail, Colorado.

Debe, For the most part even when on "vacation" I continue to handle everything that I can short of showing homes.  For that, I'll hire one of our office mates to show any homes that need to be shown while I'm gone.

I had a good offer get blown because the Listing Agent was out of town; out of cell phone reach.   If I was his Seller, I would tear up the listing agreement and take legal actions.

Debe - I have heard stories of agents leaving their clients to fend for themselves when they are away, and I just don't understand this thought process at all. In our office, we always find a way to cover for one another. There is no way we would leave a client on their own.

Planning for vacation includes managing your business while you are away. A good example of how to not do this, is last year I had a buyer who needed to move quickly, and we found a home, submitted an offer, and called the agent. He didn't answer the phone (one of my pet peeves), so I left him a message and waited for him to return my call. It didn't happen, I called him again, same response. I then call his managing broker, who said he would get back to me. Several hours later he calls to tell me that the agent was on a 2 week cruise and couldn't be reached. He finally tracked down the owner and helped me get the deal done. This was in the middle of summer, our busiest time of year, and the guy had several listings. Later on, I asked him about taking vacation during the summer, and he said his wife is a teacher and that's the only time he could go. I told him that he probably lost more business in those two weeks than she makes all year. He thought about if for a few minutes and agreed with me. I don't know if that means she doesn't work now, or that he will just do a better job of having someone help with his business. I tend to go on vacation around Christmas when it's usually slow here.
