Drop Box, One Drive or Box! Which is Better???

I originally asked this question in the Q & A section, and received some excellent comments and suggestions. I was looking for a comparison between these three cloud storage places. Many Rainers were using Drop Box, since it has been around longer. However, I discovered that other Rainers are using One Drive, Google Drive, Box, and even Evernote.

QuestionsMy personal reasons were to determine a preferred method for storing files, and to address the security concerns on cloud storage. I started using Drop Box three years ago, and have found it very easy to use. However, eventually, I ran out of space and had to upgrade for more storage space. Plus, there was a security concern with Drop Box, which was addressed by Becca Rasmussen, and her husband, who is the IT expert.

Becca stated that One Drive gives users 1TB Free Space with a subscription to Office 365. Plus, it was a seamless intergration with Windows 10, and it also had smartphone and web access, which made it easy to share files with others. Of course, this service only applies to PC users. Now, as far as security concerns, her husband suggests One Drive or Drop Box for Business, since they were more secure, meeting or exceeding security requirements for HIPAA(Health, Insurance Portability and Accountability Act) that sets the standard for protecting sensitive patient data, and even others like FISMA(Federal Information Security Management Act), BAA(Business Associate Agreement), and the EU model clause.  Box was also mentioned as HIPAA compliant, and it came with the Windows 10 upgrade.

NotebookNow, as far as storing client contracts, disclosures, and other personal client confidential information, Becca prefers to use CTMeContracts and SkySlope, which gave her more protection. Google Drive and SkySlope were suggested by other Rainers too for storage of files. Then, Shawn and Angela Miller expressed a concern about cloud storage, and recommended DotLoop as a place to store all the forms and files, since their company pays and provides it. By using DotLoop, everything can be filled out online, and clients can  be easily emailed and electronically sign off on all the forms. Plus, these forms can be readily shared with others as needed.

Annette Lawrence made an excellent point. She stated that it was important to understand the purpose for which the user had in mind for these different applications. Microsoft products go well with One Drive, and Google Docs works with Google Drive. Therefore, having weighed all the comments and recommendations to my Q & A, I have decided that I will continue to use Drop Box for my personal files that aren't confidential, and for uploading all my photos that I wish to share. I will upgrade to Drop Box for Business, until I have had the chance to move all my client folders over to One Drive, which gave me that FREE 1TB storage space.

I did like the idea of having your own external hard drive to back up all your files for One Drive and everything on your computer. Therefore, determine your why, and purpose for using Drop Box, One Drive, or Box.

Hi Jerry. Great post. Well, you should get many opinions on this one. The choice of your Cloud provider has probably a lot to do with how you work - and at the end of the day, it's what works best for you.

I've tried them all over time. The short answer is for me for the last year is OneDrive because it is fully integrated across all my platforms into a single file management system and the main biz applications such as Office 365. It's seamless, flawless and very well integrated as if it runs on your machine. It's perfect if you have a desktop on your desk and a field unit like a Surface (with beats the iPad hands down BTW). Box works awesome with clients as your documents manager for several reasons - reason number 1 is full audit trail and notice system when clients access their files. Google Drive, I use when I post stuff on the internet for the public. See what I do? I separate my work files, my clients file access and my public files among three different cloud systems. This way - no cross contamination - a security measure.

I use one drive almost exclusively now that I have Office 365.  It comes with he subscription and the military subscription allows five devices.

Hi Jerry- I loved your analysis and I'd bet if someone were considering what cloud storage to use, this will help them make a decision.  I have Dropbox for some things but use Google Drive for most of my files and photos.

Kathy, I started using Google Drive for all the blogs posts writing back in 2011, since AR didn't have a good editor. In fact, I still use it to write all my drafts before I post to AR. I have lost to many in the AR editor because they don't automatically save like Google Drive does.

Aloha, Sally. Sounds like us are using all these features to your advantage. I haven't used my flash drive in quite some time now, since I am so used to going into One Drive or Drop Box to get everything I need.

I prefer Dropbox myself for it's ease of use. 

 

Google Drive is OK and I use it because some of my clients use it, but I'm not really a fan. The free space is good though!

 

I want to mention a cloud service that hasn't been mentioned here. They offer 50GB of space for free!

It works a lot like Dropbox as well. You have local folder on your computer that automatically syncs to the cloud

Also, Flickr has 1TB of free space. 

I'm not 100% sure that the photos can be private though.

Hi Mary Yonkers I just signed up for One Drive for Business for an additional $5 per month. One Drive is just as easy to use as Drop Box, and you get more storage with better privacy protection. After the May 10th upgrade by Windows 10, it's easy to add the business or work account to One Drive for your PC, smartphone and tablet.

You can sign up for 30 days free trial for One Drive for Business. Right click on the One Drive icon, and look for settings. Then, choose folders and add the new business account. I just spent the afternoon doing it on my desk top. It was easier to do on my phone. Let me know if you need any assistance. Have a Blessed Weekend!

I like the logic you used and the steps you took to arrive at your decision. Information overload! I feel like R2D2!!! I'm getting maxxed out on the options. And I live in such a little world out here in the middle-of-nowhere, Jerry that I can't figure out how to get to Dropbox since I changed to Windows 10. It used to automatically go there when I would download photos--now--totally different. 

I'm not even sure if I still have a Dropbox account! Oh, the details.....

Do get Drop Box back after you uploaded Windows 10, just go online to your Drop Box account and add it again to your desktop. All your files are still online.
