Want to Buy or Sell? Do you Communicate Well Enough?

I have just joined Realty ONE Group Mountain Desert in Prescott. I went from being Agent #3 at a Brokerage with three agents and NO Systems to one that has SYSTEMS everywhere.  The primary one is DotLoop which I do not know yet.

Many of my Clients, both Buyers and Sellers, are from out of town and out of state. I am having lots of trouble getting my paperwork done in DotLoop.

I frequently turn down working with Sellers who do not have e-mail.

Snailmail does not work well at all because it takes too long and documents get lost a lot more often than I would like.

Often, I have couples who have ONE e-mail between them.  Other Buyers and Sellers do not open their email unless prompted to do so. These situations also do not play well with DotLoop.

Buyers who are not well-connected may find themselves missing out on homes they want because they cannot respond fast enough, especially in HOT markets. 

I accept the systems and even like them but the transition is difficult.

Does anyone have ideas that will help?

 , when you are in a community that really caters to the out of town type folks.... there is NO doubt that without emails ... it makes you job a very difficult time consuming task.  I remember 10-12 yrs ago... working with many folks that did not rely much on emails, so we encouraged them by helping them create a simple account, yahoo or AOL, for our communication, only.  Ask them to check it every day... and would call to make sure they got the data.  Helped somewhat...

Thanks, Dan Hopper, for your suggestion. I have not been helping my clients get email but that might be a good idea.

One of my clients told me he could not receive a fax because he ripped the cord out of the wall. He also said he could not take the time to go to OfficeMax or Staples.

As both a Realtor and a Notary Public I avoid both DotLoop and Docusign. I have had nothing but trouble so I just scan to email everything that needs to be signed John Mosier

There's always scenners and faxes.  I use my scanner every day.  A Fujitsu ScanSnap.  

I prefer DocuSign to DotLoop or LoopNet.  Use it a lot.

Thanks, Chris Ann Cleland -- The problem is not on my end. I also have a Fujitsu ScanSnap and I absolutely LOVE it.


My problem is with my Clients who are not well-connected or not technical enough to do their part.


My new Broker looks over 150 agents and signs off on our documents. I can understand the need for DotLoop.

Good morning John.  When we had Dot Loop it worked fine.  We sent, signed and received documents just like anything else one uses.  It just takes a little time to adjust.  Very few documents are sent via snail mail anymore, can't help you on that one.  I may suggest if there is a local bank where your clients are doing business send a fax there, have them sign it and send it back via using the banks fax.  Done that one before.

I'm so used to email/text communication, digital signatures and online filing/storage, that it would be really unusual to serve clients without email....but as they say: if there is a will~ there is a way.

Perhaps you can email them a .pdf that they can print and fax or scan and sent back to you and then you can upload the signed document to dotloop.  When we have agents who can't, don't, or won't esign that's what my agents do.  We try to be the least paper wasteful as possible, but we also try to communicate in the manner that our clients need us to do.  Sometimes that means paying for overnight mail.

Tammy Lankford -- I have many clients that do not know what a .pdf file is. It has something to do with the fact that I work with many elderly Clients. I have taught a few to do the e-signing and most are excited to do the signing that way once we get past their fear.

My bigger communication problem is Clients who do not set a priority on getting my stuff done or taking a LONG time to call me back.

I use zipform (which has our local board's documents) to write my contracts and then upload them to dotloop because I don't think it is all that easy to write contracts in dotloop.  

I occasionally have clients who only have one email between them - Then I create a new email for them so that they can both have email addresses - sometimes you just have to be more proactive for them.  And of course you call to tell them you have sent them the email - not everyone is tied to their email like we realtors are.

I use Zipforms and it works well for me. I think I will eventually learn to to use and maybe even like DotLoop. It was especially difficult for me because I had over 40 listings to transfer.


You are right, Lise Howe, we sometimes lose track of the fact that other people do not live with their email the way we do.
