Documenting a Transaction

Do you have a plan for maintaining copies of all records? In the State of Wyoming, real estate agents are required to maintain all files for a minimum of seven years after the transaction was closed. This is easy when it comes to our contracts, addenda, and emails. But have you considered backing up your text messages?

Recording Text Messages

I use a free mobile app called SMS Backup+ (click here for review) that automatically emails a copy of every text message sent or received. Once it is in my email account, it is labeled with the contact name and/or the phone number and then sent to my archives. I can easily retrieve any text message by searching for the author's name, phone number, or key words in the text message itself. It's important for me as a property manager in Cody, Wyoming and I believe it is important for you!

Do something now!

Text messaging has become increasingly common. To protect yourself, your office, and your clients, I highly recommend you find a way to record all forms of communication. It may save your bacon!

Texting and emailing are a huge part of our transactions these days. I loved SMS backup when I was using a Droid. Now that I'm on the iphone we have icloud for backing up.

As a property manager, we actually state in our Policy and Procedure Manual (P&P), that "No business is to be conducted via text messaging".  Texas also requires (as most states), that we maintain records for a minimum of four years after the Agency relationship ends.  While Apps such as SMS Backup are nice, they are still cumbersome, and requires additional steps to properly store the information (therein lies the challenge - the Humane Factor).  Until Texts can be properly and easily stored (as we do with emails, etc.), we will continue to prohibit tests as a form of doing business.
