Product Review: Asana for project / task tracking

 

Are you a checklist fanatic like me?

 

I'm a property manager so checklists and systems are extremely important to me. I have checklists for marketing property, screening applications, on-boarding a new owner or tenant, inspection properties, and much more. Checklists enable me to ensure steps are not missed and it ensures every client and customer is given the same treatment whether they work with me or one of my employees.

 

The problem is that checklists require paper, can get buried on my desk or in someone's in-box, or they're not accessible when I'm at home or in the field. That's where Asana comes in!

 

Asana is a great tool for creating checklists to track tasks or projects. Each task can be assigned to a specific member of the team making it easy for everyone to track responsibilities. Deadlines can be assigned. I can attach notes and documents to each task, create sub-tasks, and communicate with my team all through Asana. 

 

I'll include a couple screenshots below to show you what it looks like.

This is a shot of my main page. The left side shows my projects with favorites up at the top. In the middle you can see a project template I created. On the right side are the details of the task I have highlighted.

 

I've created template checklists that are as detailed as possible. When I get a new buyer, seller, Landlord, or whatever the case may be, I simply copy the template, rename it, and adjust it to fit the current situation. It's actually pretty quick and much more detailed and useful than a paper checklist would be.

 

Here's an example of a task on my mobile device. I want to ensure the buyer conducts a final walk-through of the home and I provide them with a handy checklist so they feel comfortable nothing was missed. You can see the grey box is actually the PDF of the checklist. It's attached to my task so I never have to dig for it!

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

You can assign deadlines to each individual task or even the entire project. There are different views that enable you to better track progress, such as a calendar view or a simple list of all tasks assigned to the user.

 

Best of all are the reminders. When a task is coming due, Asana will email me and remind me that the task is due that day (or over-due) so I don't forget. The mobile app allows notifiations, as well.

 

A piece of software like this can seem over-whelming at first. I encourage you to watch some videos on YouTube, particularly from real estate agents. This will give you a better understanding of how they use it in their business.
