Over the years, I’ve had the chance of meeting with many Realtors looking to leverage their time while giving nothing but excellent service to their sellers and buyers. Helping Realtors from contract to closing is what I and my team I enjoy doing.
Well-meaning real estate offices often have a Transaction Coordinator in their office to help the agents with their productivity and paperwork. In the beginning, everyone is confused about it. For a small amount of money for each transaction, the busy Realtor can take the help of a Transaction Coordinator. He is personally selected, screened, and placed in the office by their broker or manager. So far, so good, right? Well, maybe.
Generally, any of these three situations play out:
- She’s a hard worker, can handle about 75 transactions a month. Moreover, doesn’t mind working for 60+ hours a week (at least when starting). She takes calls at nights; works almost all weekends and hardly sleeps. However, as we all know, working for 60+ hours a week for too long can lead to burning out. Even if she might be doing great for some time, soon this star either implodes or fades.
- She has little to no training on handling the volume of real estate transactions she’s expected to. So shortly many agents discontinue using her services because they are disappointed that they don’t get any personal attention they thought they would get. Rather than having weekly meetings, a platform to post updates or emails, they come by her desk and hang out which distracts and slows her down. (thus things then fall through the crack)
- A storm begins to steep; the agents aren’t happy because many things are missed or are expected to do their work when she is on vacation or is sick. She has no leadership to correct her methods of coordinating are keep away fires and being reactive, rather than a system to effectively and efficiently do her work proactively. Other than just handling the transaction coordination, she’s also being asked to do some other favors. She’s covering for the receptionist who might be on vacation. She is helping on the phones with showing instructions and even creating some flyers for some agents in a pinch.
