The Email Challenge for Greater Productivity

Here's a quick one to think about that should free up plenty of your valuable time:

How much time do you think you waste checking your email? Way too much I bet. Try to make it a habit to only check your email twice a day. I'd say late morning after your prospecting or 15 minutes before a lunch break and then again toward the end of the day. Then each of those times that you check the email, respond or otherwise handle each one immediately.

You'll find that you will work more efficiently the rest of the day. You will also find that you will be able to blow right through your responses as your mind is working effectively on the single task at hand rather than the way you are probably doing it now: answering one, making a call, looking up a home, then answering another email.

See how much time you save and use this as a model for the rest of your daily activities too. Check the MLS for new listings once a day ONLY. Do all of your tasks in chunks of similar activities instead of scattershot during the day: Call agents for feedback; return buyer calls; follow up with listings all at once. Your mind will be more focused on the task at hand, you won't waste as much time jumping from one thing to another and back again and you MIGHT even have a little time for yourself leftover at the end of the day!

Give it a try and you'll soon make it a habit.

Great ideas, I do find that I spend too much time on the computer and it just eats up time. I have to admit though I have been known to check MLS upto five times a day!

James-  I love this idea!  I am definitely guilty of having realtor ADD!!!  I make myself a list to start out my day, usually at night for the next day or I won't sleep at all!  I think I will take your advice, and make my list the night before and when I get up the next morning, I will organize it as you mentioned above!  I will let you know how much time it shaves off my day.  I bet it will add up!!  Thanks!

Being a Mortgage Banker, if I checked email twice a day, I would be so far out of the loop it is not funny.  Rates when they are changing comes to me by email.  How would I know of the changes in the rates?  Also, conditions, appraisals, things dealing with open loans would be delayed and my Realtor Partners who are used to my service levels would be compromised. 

I love the idea but in my case, as we say in Texas, that dog wont hunt.

James - I use email as my primary form of communication with lenders, title companies, etc...  I find it efficient to check it all the time and use it all the time.  I couldn't go to just twice a day.  I love email communication.

Very good suggestions.  Whatever the system, everyone needs to adopt a system and stick to it or this business will run you instead of you running it.  It is the nature of the beast.  Good post.

James- I think that your post made a great point that staying on task throughout the day is a key to getting through the day a little less stressed!  I love the point you made about organizes the tasks you are doing, and do all of that type at the same time, while you are in that mind set.  I did that yesterday, and I felt like I got into a groove, and checked off my list at a quick pace by staying organized!  So thank you!
