Zoom Call With Ryan Huggins on Information Security 101

The Zoom call this week was offered by Ryan Huggins, a fellow real estate broker but also someone with extensive experience with Information Technology and specifically the safety of data. Having worked in industry where a client's/patient's information needed to be protected, he has developed an understanding of what needs to be done to secure information and how to apply safeguards to protect that data.

In our own sphere we always have information that is sensitive for a client and in some instances far more valuable to secure.

Ryan abides by the principles of CIA:

Confidentiality:  The state of keeping or being kept secret or private.
Maintain the confidence given to us by our clients
Integrity:  The practice of being honest and showing a consistent and uncompromising adherence to strong moral and ethical principles and values.

Availability:  Being there for our clients when they need us with the resources required.

 

When it comes to safeguarding information the key is knowing what needs to be protected and who should have access to that information. 

Are there Federal or State rules governing date  We know that through NAR we have criteria that needs to be followed regarding responsibilities to a client. 

As an example, Ryan offered up the reality of people working in an office with sensitive files containing client's data.  At the end of a wok day, many of those file are closed and left on the desk where they can be opened by cleaning people coming in during the evening, or outside contractors needing to do work through the night that would have disrupted the workers during the day.

 

Knowing what data is there and how it needs to be addressed breaks down into a simple formula based on degree of sensitivity.  Ryan breaks it down as None/Low/Medium/High

None:  Readily available information such as office phone numbers or addresses.
Low:  Materials available to all that can easily be modified to a particular need, such as flyers, social media formats or any other information that has minimal impact.
Medium:   Information that can create issues but not offer liability, such as a person's future wages, business strategies, or even a list of potential recruits from other agencies.
High:   Information such as a clients personal data, banking details or any sensitive information that would create a legal issue.

He offered a color scheme to better make the degree of sensitivity known:
White:  Not overly sensitive disclosure not as important.
Green:  Limited disclosure, restricted to select people.
Yellow:  Limited disclosure, only select individuals with access.
Red:  Restricted information not for disclosure.

 

The meeting was well attended and there were some interesting questions raised all of which could justify future Zoom calls to address, such as Trademark or patent infringement. 

Noting also that I offered no screen shots of Ryan's presentation as all pages very clearly had a copyright label on them, and in the interest of getting this recap posted, I did not reach out to him, in writing for permission
