Continuing from significant change requires updated procedures, part 1, part 2 details additional specific procedural steps 3-12 which establish how to be both efficient and effective. Personally, I truly dislike having to duplicate my efforts especially when time is of the essence and why I invest planning time upfront before revising or adding any procedural steps.
NOTE: This process has a total of 21 steps. Steps Three through 12 are future steps to be achieved on Sunday 8/4/2024 in the afternoon and on Monday 8/5/2024
Step Three begins with the five (5) addenda that had to be created for the current active listings that adhered to the timeline of under 12 months expiration date. Given it is the weekend, I determined that all addenda would be sent out on August 5.
This addendum also included a statement about compensation even though the AZ Association of REALTORS® listing agreement had compensation specific to the buyer’s agent. However, it was not written in the required language per the NAR settlement agreement.
The other statement had to do with informing the sellers that compensation to the buyer’s agent would no longer be published in the MLS. Again, this is to be in agreement with the NAR settlement.
Step Four is to bring each active Listing Contract up and then complete the Listing Contract Addendum. To do this I had the PDF of the Listing Contract on my laptop allowing easy customization of each addendum.
Step Five is to save each newly created addendum as a PDF to the respective folders on my laptop.
Step Six begins the same procedural steps for the eight (8) Vacant Land Listing contracts as well as to include the Real Estate Agency Disclosure and Election revised document.
Step Seven uploads each document into the transaction desk program for electronic signature with the email message as a rough draft. This would be 13 uploads.
Step Eight creates an email with an attachment for the sellers explaining why these changes have happened and with notification that I will be calling the sellers on 8/5/2024.
Step Nine is to send out the emails with the attachment. This email to be sent the evening of 8/4/2024.(See Step Eight)
Step Ten is to call each seller Monday morning to call per the previous email and discuss any concerns regarding the new documents.
Step Eleven sends out the new documents for electronic signatures. One seller will require a personal visit as the seller’s email is often non-functional and the seller does not have a smart phone. I will create a word document so that I can copy and paste the verbiage for each seller to again confirm the new document along with a requested date of return.
Step Twelve updates Listing Contract Spreadsheet with all emails being sent to respective sellers.
Part 3 looks at the necessary procedural steps to be undertaken after receipt of documents with the completed electronic signatures.
