SPAM, FRIEND OR BUSINESS? EMAIL HEADERS, WHY THEY MATTER.

Repost: I finally got to meet Missy Caulk at INMAN connect and she was telling me about her favorite 
post of mine. Somehow it got lost by ActiveRain, but I was able to resurrect it! Here it goes...
(feel free to REBLOG this one, this is really something that should be spread around)
Only 5% of Realtors have their Headers in the correct format. Are you part of the 5% or the 95%? 
Don't think your email headers matter? 
How about when a customer can't tell if you are a President of company or customer  support for a trash company!! 
Look at my actual inbox:

Why are good headers so important?

With 100-200 emails per day, and many of those being spam with fake names,  it is very difficult to memorize who works for what company. 
And if you want your email to be read first, then make it easier to speed read in a flash.

Which is easier?:

Smith, John (worst)
John Smith (bad)
John Smith XYZ Corp (better)
John Smith- XYZ Corp - 703.555.1212  (best)

Here are the "from" headers for Frank, David and Eric and 2 spammers:
Inbox:
  • Frank Borges LL0SA FranklyRealty.com 703-827-4OO6
  • David Johnson [1.877.555.1212 - XYZ Realty]
  • Eric Owen [703.555-1212 - HomeFirst Mortgage]
  • Eric, Johnson (spam for free music)
  • Peter Patterson (spam for something else)
Much easier to read and process than: 
  • LL0SA, Frank (real)
  • Johnson, David (real)
  • Eric Owen (real)
  • Eric, Johnson (spam for free music)
  • Peter Patterson (spam for something else)
Only until you open Eric and Peter's email will you know it is spam.
By NOT looking like spam or a high school friend, it makes your company look more professional and your 
emails don't get lost in your client's (and fellow Realtor) flooded inbox.
 
Using OUTLOOK, this is where you change your headers.

This is a good post and helpful information. You are do right. In today's world and 500+ spam messages a day it is important to have a message that is not getting lost.

Frank thanks for digging it out and posting again. As I told you all my team uses it since I read your post months ago. It is definately more professional.

One thing I really like about it is that the contact has your phone number right there and doesn't have to look it up to call you.

Great to meet you and I'm going to post on all your business cards. Did you read Ardells post with you in it yesterday over at Rain City Guide?

I got an email today from 2 people. They both had horrible headers and their names were off by ONE LETTER!!  Come on guys, don't look like spam and stand out!

Thanks for this timeless bit of wisdom.  I just went into GMAil and all I had to do was got to SETTINGS and then the ACCOUNTS AND IMPORT Tab to modify my heading.  I already had my full name followed by REALTOR - now I changed it to a long tail search phrase...John Occhi, Hemet-San Jacinto Local Expert REALTOR® (951)654-5550. 

Like we use to say back in the 70's..."Let it ALL Hang Out"
