Earlier this year I had the opportunity to interview three of the nation's top high tech real estate agents.  One of the questions they were to answer was "What was your best hardware purchase this last year?" Among them, the answer was unanimous.   Each mentioned with excitement this new fangled scanner.  At first I just couldn't buy into it . . . the thought of stepping backwards to a dedicated scanner taking up valuable desktop space in my office . . . I am asking myself, what's wrong with your multifunction printer combo?  By the time the third interview was over, I was convinced and I had one on the way. 

Fujitsu ScanSnap S1500 Instant PDF Sheet-Fed Scanner

 

The Fujitsu ScanSnap S1500 is about the size of a football when it's folded up.  It takes up hardly any space.  When you unfold the paper feed and catch trays, it turns the power on.  It only has one button . . . to scan . . . you can't mess it up.   Get this, when you scan a document, it automatically lands in your computers "My Documents" as a pdf file.   No finessing, no fancy steps, just "Bam" it's a PDF file on your hard drive waiting for you to rename it and move it to its rightful place.

It scans 20 pages per minute, both sides, color!  I put it up against my Multifunction Printer and the ScanSnap had 34 pages scanned and saved before the Multifunction Printer scanned the first page.

It does business cards right into Outlook.  It scans the smallest of receipts and with a click, scans photos at your highest resolution.

Man, when I got it, I scanned everything in house, including the microwave manual.  I don't even keep paper folders for my transactions anymore.  It's so fast and easy, now everything is paperless.  After scanning, I turn the originals into the office and keep the pdf files organized in folders in my computer. 

Here is a strategy for organizing your transactions on your computer.  In your My Documents folder, create two new folders, one for Listings and one for Sales.  In the Sales folders create sub folders for each buyer by last name.  In the Listings folder, create folders for each listing by street name.  Keep every file, document and photo in their respective folder.

Thanks for tip. I am debating on adding a scanner in my car. This would fit the bill.

Right now I fax any documents to myself using my efax number. I love efax. :)

I'm a fan of this scanner as well.  It's a great value at its price point.  Unfortunately, Fujitsu has decided not to have their driver signed by Microsoft so many people will get errors installing the software.  I've also had an issue with this scanner not working with Dell laptops that have video cameras.  Fuji has acknowledged this problem since there's a driver conflict and the only solution they gave was to uninstall the camera but this still doesn't have the scanner working on my system.

Hi Mark; I love my Brother all in one machine. But see what you mean about your scanner - as it's so fast.  I am usually a "speed freak" too. But because of space, I just don't want another piece of equipment - yet.  I have my office at home so go do something else when it is scanning as yes, it does take considerably longer. So will put fast scanner on my list for the future at some point.

Paperless is the ONLY way to go. When we first implemented our paperless strategy on our team, we used a slightly tweaked folder heirarchy that worked better with our workflow and better suited historical retrieval of data. Here's how it looked:

Transactions

Listings

Potential Listings

Active Listings

Pending Listings

Closed Listings 2009

Closed Listings 2008

Closed Listings 2007 (etc.)

Buyer Sales (same structure as on listings)

Rentals (same structure)

 

A couple of other crucial "rules" that we implemented were:

1) Every single document in any transaction folder MUST be named beginning with the address (i.e. 123 Smith - Listing Agreement.pdf). This is insurance against a file just named Listing Agreement.pdf accidentally getting dragged into a folder where it doesn't belong. With the address in the filename, it's easily searchable even if it's accidentally moved.

2) Since we'd often relist a home that we had once sold to a buyer (and then relist it again, and even again), we used a simple numbering suffix. For example "123 Smith" is used for the first time we list or sell a home. "123 Smith (2)" for the second time and so on.

3) The sub-folders for potential buyers start out as the name of the prospect (obviously, since you don't yet know the address of the property they're going to buy). But that's changed to the property address once it gets moved to the Pending Buyers folder.

4) All similar documents must be named the same way. If you plan on high volume sales, you'll be processing a LOT of documents. You should always name the HUD documents "HUD" or "Closing Docs" or whatever you want...just be consistent. It'll make your life tons easier down the road once it's in place.

5) And for the cherry on top, we had our docs saved in an online location where the entire team had remote access to all files from any computer. At that time, it was a MS Exchange-based feature built into Windows, but you can achieve the same with an amazing FREE program called Drop Box (www.getdropbox.com). And no, I have no connection to their company (other than loving this product).

Steve, you're right. The ScanSnaps do not include TWAIN or ISIS srivers' in order to keep the interface and features easy to use.  They do include the SnanSnap Organizer which is a pretty good tool.  A few other solution you can look at that work with SnanSnap are located here:

I use docusign, and have my clients sign everything electronically whenever possible. I can then email all the docs to the otherside of the transaction and escrow as well. No scanning needed most of the time!

Hi Jackson,

Yes it can be frustrating when someone does not want to play using the e-signature. E-signature is here and it works. According to NAR, all states and just recently FHA, are cool with the process. Keep holding those vendors and coop agents to the fire. It is time!
