How Do You Break Bad News to Clients?

By
Real Estate Agent with Elizabeth Anne Weintraub, Broker DRE #00697006

I've had conversations with other agents who say they prefer to represent buyers over sellers because it's easier to keep buyers happy. Buyers are excited to close and begin a new chapter. Sellers often are just moving on. I think it's easier to keep sellers happy, especially when the big deal is typically a fat check at closing, and managing problems before they occur.

But sometimes you can't manage things beyond your control. We've all been there when the buyer's sewer inspection reveals a need to replace the sewer lines or when the buyer's lender's appraiser turns in a low appraisal, or when a pipe bursts inside a vacant house and floods the place. All kinds of horrible things can happen during escrow, things that cannot always be prevented.

This is where the rubber meets the road. It's easy to react defensively when a client gets angry or, worse, points the finger at the agent, who most likely had nothing to do with the situation. A smarter agent will read through the reactions and try to present a balanced and fair picture without flying off the deep end. Elizabeth, I would not care if they find my order either and I would be darn sure the charge is removed from my credit card. Terrible customer service leaving you frustrated and not feeling at all valued.

Shoppers who prefer organic tend to put up with a lot more crap because they don't expect the establishment to behave in a professional manner, but that's still no excuse not to strive for customer satisfaction at a co-op.

Elizabeth - Great post. Having to break bad news to clients is never easy, but apologizing for what has happened to them, and working to find a solution is a great suggestion.

Staying calm, cool and collected and giving them a solution to the problem at hand is important.

So true about giving options on how to fix the problem when you are the bearer of bad news. PS. So what's your favorite wine?

The best way for me, is to try to have the solutions at hand before calling them.

Good morning Elizabeth.  Well you have more patience than I do.  IMHO if they put someone on the register that person better have it together. It would go downhill quick, like a lead balloon.  Congrats on holding your temper.

It's in subtle things they say, especially when they question or try to do your job, that it is crucial to realize it's not true. When you realize it's not true, and just a natural reaction, there is no temper to hold.

Good morning Elizabeth. The soon the better and hopefully with a solution or two. It is never fun, but needs to be done, so that next steps can be discussed.

Hi Elizabeth.  The important thing to do is to tell your clients in the most palatable manner possible, but tell them.  I've seen far too many agents, vendors and clients that just won't tell those that should know about problems that will kill the deal if not addressed earlier.
