3 Steps to Increased Productivity - Just Say NO

I'm Working on 3 Things to Improve My Productivity

It’s always difficult to admit you do certain things that get in the way of being more effective and productive. No doubt most of us have something we do that prohibits us from getting as much done as we could or should, either business-wise or personally. Identifying those little issues is the first step...awareness is the key to making change. If you don’t know what you need to change it’s not going to happen.

Working on eliminating those issues, or at least minimizing their interference, is the next step.

Here are 3 things I am working on (it may always be work in progress) to improve my productivity.

Number 1 – I tend to be a bit perfectionistic at times. I see it in emails I write to clients, in marketing pieces I create, in advertising I develop, and sometimes the posts I write, and more. What tends to happen is that I keep working on something, revising and editing, rather than just accepting it as being good enough and moving on to the next thing. I have adopted a “done is better than perfect” focus on these things – there’s even a reminder taped to the top of my laptop. The point is to get it done and move on rather over-analyzing and editing over and over, which takes precious time, and worrying that whatever I am working on is not perfect. That’s not to say I am not careful, but one can ruminate too much and you get nothing off your plate!

My NO ButtonNumber 2 – Just Say NO! I have a bad habit of not saying no. Sometimes I let things interrupt me when I am busy.

Or I get asked to do things, personally or business-wise, and rather than saying no, I agree and end up spending valuable time I could put to better use.

Or I regret that I did not say no as I really wanted to and end up feeling guilty about it. It’s another reminder on my laptop. And I have a big NO button on my desk.

Number 3 – Email. Oh, that’s a big one. I have a bad habit of checking it too often during the day (and of course having an iPhone and iPad makes it easy to do whenever I want even on the road!). Much of the time there is nothing that I need to worry about right then and there, but when there is something it rewards me for having checked it – see, I DID need to check it again! It can distract me when I am focusing on a task that needs to get done, and before long I have spent several minutes looking at emails that really do not need my focus right then and there. It ties into item 2 above – I am working on saying NO to checking email at times when I really shouldn’t.

Will it ever be perfect? No, I doubt it. And I don’t expect it to be. But progress has been made and as long as I keep focused on these habits I find myself being more productive. It’s when I slip up that things get out of hand.

I am have struggled with number 2- just say no.  As many in our business, I tend to focus on helping others then I forget that I also need to focus on taking care of myself.

I make it a policy not to use my phone to check email when I am in the company of others.  This has made it possible for me to be more in the moment with other people.

I certainly understand that as it's been a hard one for me, too. I stopped doing some of the volunteering because while I enjoyed it most of the time I felt tat it was taking too much time and I could not devote myself to it like I should. It was a hard decision to make.

I can identify with all of these Jeff, your first item used to be a big problem until I noticed how many unfinished masterpieces I had laying around and changed my focus to getting it done rather than getting it perfect.

Good morning Jeff. Many may thing saying NO is a little selfish, but it has served me very well, I keep getting better at that one.

These are all important things to work on! Saying "no" is a skill that we all need to learn because we just don't have time to say "yes" to everything!

Hi Jeff - I have the same problem with number 2 and 3.  On the other hand I sometimes work too fast and could spend more time on number one.

All good points Jeff.  I've gotten pretty good at saying no (most of the time). As for being a slave to our phones, yup guilty as charged some days.  I went so far as to to get FB on my phone as my neck hurt from looking down!  Sad but true

Thanks Bob Crane

I suspect this is an issue for many of us. Done is perfectly fine, IMO. I just need to keep it in mind all the time

You just can't say YES to everything and get done what you need to do in daily life or in our business.

That is so true. And there are ways to say NO effectively and not offend most people. And for me it also means saying no to distractions and other things that take me away from my focus. Doesn't work all the time but I try to keep it in mind

GREAT post, Jeff. Same comment for you as one of our other AR friends. My daughter is stuck on this song...

My name is no

My sign is no

My number is no

You need to let it go...

Yep, I think the phone is in control much of the time.

My chiropractor says he and other docs see more issues with neck and back pain these days that they attribute to significant computer time and looking down at our phones so much.

Jeff, I saw this re-blogged by Belinda....and I really like how you approached your perfectionism. Also, I've got to agree w/B in that #3 is my downfall at times. I'll be in the middle of doing some paperwork that I abhore and will hear the "ding!" of e-mail and as I wrote in her posts, it's very similar to reacting to shiny objects!

Thank you! I don't have the sound on for my laptop or my phone but I still find myself getting distracted regularly, unless there is really a time crunch
