As we get older we need help remembering items that occur in our day to day activities. I found out about EverNote about a year ago from my son. He sat down and showed me how he was using it in college and that evening I downloaded it to my desktop, laptop, and iPad and have never stopped using it.
I use this tool in the following way:
Each active client has their own directory structure and within each directory there are multiple folders which contain all the contracts, notes, voice recorded conversations, emails and attachments etc. for their transaction. When the escrow closes you can just export the directory and all the notes out and save it in the cloud or and external hard drive that you may have for your backups.
The directory structure above is a partial view of my evernote notebook. It shows the use of stacked directories for my recruiting efforts. As I use this tool today I find additional uses and plugins that are available for the tool. The one plugin that you have to download when you first install the tool is called "CLEARLY" this allows for you to clip a web page to evernote and just take the main content from the page and not copy all the ads and additional links that you find on a web page.
If you work in a team and share information all you have to do is right click on the folder and click SHARE and then invite the people on your team. This allows for everyone to have modify on the notes if you want or you can make it read only.
All the notes you create are sync’d to the evernote cloud so if you happen to be using another person’s computer you can login to your account on the web and view all your information. By having everything sync’d the information on your desktop, laptop, iPhone, and iPad will all be the same.
In summary, great tool which just keeps getting better each day and enhancements and plugin are announced all the time.
