Preparing the Prelisting Packet - Part 1

How much time do you dedicate to preparing your pre-listing package? Do you wait until the day before or are you so eager for the listing that you don’t take the time to prepare an accurate CMA by scheduling the presentation the same day? Allow at least 3 – 4 days to refresh your knowledge of the area and prepare the presentation. Allow time for editing, photos and calculations. (This will vary by market and is up to the agent) Just don't do a rush job on the presentation. If canned works for you then use it. If you have different requirements, meet those requirements.

You should also prepare your home seller/potential lister for the appointment, by mailing the prelisting packet early.  Make certain that it arrives at the seller’s home 48 hours prior to your arrival.  Then confirm by telephone your appointment date, time, the packet’s arrival, and your need for a copy of their title insurance policy.

Pre-list Package Should Include

  • Your mission statement and commitment to the seller
  • Your Ethics Statement
  • An introduction of yourself, agency and your team
  • Information that explains the home selling process and what to expect
  • Information about the home inspection and the appraisal process
  • Methods you will use to sell their home – marketing plan
  • Home seller’s questions & answers booklet or pamphlet
  • Tips on little things the home seller can do to help sell their house (Curb appeal, clutter, cleaning, closets, etc)
  • Disclaimer and package ownership document for signature
  • Business Card
  • Letters of recommendation/references
  • Documents that need to be signed by the seller (preprinted)

The purpose of the prelisting packet is two-fold: first, to get the home seller familiar with you and second, to prepare the seller for a positive, professional experience.  

Include words like

  • Read This Before Listing Your Home
  • Important Listing Information Enclosed
  • Things You Should Know, Read Before Listing Your Home 

Make sure that your professionally develop your packet by either having it spiral bound or spine sealed.  Use a clear front and a color front page. You should also use the adhesive back business cards to adhere your business card to the front cover. Documents that must be signed should not be spiral or spine sealed.

Thanks for the outline. It is similar to what I do, although I tend to be a bit "secretive" about my marketing plan until I have the meeting and the sellers are planning to list. While I will tell them some general things I do, I don't want to let the cat out of the bag...nor give away the trade secrets.

I have a couple of forms I use to gather information about the neighborhood/home to use this to interest buyers. I don't ask for this to be completed, only to show them what I will do for them. Ialso have a How to Price Your Home video I share.

Oh that only the prelisting. The true marketing plan comes with the actual presentation. It is nice to give the seller enough to make them know that you are the better choice.

Thanks so much for this informative post. I've been doing a very similar package when I meet with them for a pre-listing session -- but haven't had any real idea if I'm missing something. Had 3-of-the-first-four listings dissapear on me and was starting to wonder what the "issue" was.

This post shows me that I'm "sharing" basically the same information as the others. Just bad luck -- and hungry agents (commission cutting is the most sited reason).

Hungry agents will always be an issue but, you will need to address those problems from a different angle. It's not always necessary to be unique, just improve what you already have.

We have a pre-done bound padket that we provide for every appointment.  all we have to do is insert the CMA info.  Also, we have a Powerpoint presentation.

The pre-listing presentation is part of our branding. It's sets up an expectation and then the actual appointment is the confirmation.

Whereas I agree with the content, I just do not know if you should take 3-4 days to prepare and refresh. I guess it depends on your market. I think in my market, if you took 3-4 days, the seller would be calling other people to come by. Again, just my opinion and I do agree with your content.

I agree with Ray.  Taking an inordinate amount fo time ( 3-4 days) in a growing market can cost you.  Have a canned presentation on the computer and simply add in the necessary changes for that Geographic area... a couple of hours at best.  In short I am saying preperation is better than reaction... so have the frame work ready and plug and play!

We do the same - but use Top Producer 7i to "deliver" the CMA and all other collateral.  We prefer to work with people who are comfortable using email rather than snail mail or hand deliveries, and have great success with this approach.

The internal value of the packet for the mindset of the agent when going on a listing presentation has great value too.  A presenter in any field needs to be comfortable about what he or she is talking about.  

Sellers need to have it early as you point out because they have some time to go over it.  If they don't, they will still be more comfortable and confident knowing that all are going to be looking at the same thing.  

Some of these things could be available on a website to refer people to for a reinforcing tool.  Agents and clients or customers could access the reinforcing information about what this company is all about.

Ray. the time frame depends on your market and the already established relationship you have with the lister. If it is a referral, chances are the lister will be there. If not, the response time will be your call. The bottom line is to make sure that you are prepared and have accurate data.

Tony,

Email the listing presentation is good but you have to make allowances for those that prefer a hard copy. Giving the seller an option isn't bad at all.

Once the listing agreement is received, email should be the way to go and the primary means of communication. But, you still need the people & personal side of communication, the voice.

I love working with buyers and sellers that are computer savvy!

Thanks. I have been told that I give away too much information. Since I am not an agent, I do a lot of reading and believes in networking online, I do learn a great deal. I also considered being an agent but I like working the back end more. So I decided not to take the exam.
