Keeping Track of Rental Showings Sheet

               When you are fielding many incoming calls, you need a way to track and notate everything that comes in.  This helps for metrics purposes as well as trying to make sense of the data for feedback.  Follow up is a big area as well.  You would like to know when people called last, and when you can follow up.  In the peak months of summer there will be some hundreds of incoming calls anytime you have multiple vacancies on the market.  For showing agents trying to tackle all of that they need call logs. 

                Our Denver property management call logs are usually in paper form, due to many reasons that involve ease of use and sheer volume.  When you have a regular sheet of printer paper with all your columns on it you will be able to see everything at a glance and once you get used to it you will be able to access everything you need.  The reason we don’t have these electronically is that your device needs to be a certain size to see everything at a glance.  Usually that requires taking a tablet with you everywhere, where a simple piece of paper suffices. 

                This spreadsheet has tenant name, address, time called, when you tried to call them, what the response was, and when you have a showing scheduled with them.  There is a section for notes on each tenant contact.  This can be a catch all for any pertinent information about the contact themselves.  Mostly, we use this for their move in dates and any requests they may have.  Any other details that go here are things like pets and if they asked about any other properties you may have.

                The best part about these spreadsheets is that you can have them with you always, can look at them at a glance when you are on the phone, and can discard them once you have rented the property.  When you need to provide owner feedback these are especially useful as you can quickly count the number of inquiries you have had and can report back on them. If you are tracking every bit of incoming traffic you will be able to reach everyone.
